Overview
Document Controller role within the Capital Team at Nottingham University Hospitals NHS Trusts. Manage and maintain Capital Projects documentation and workflows in a Common Data Environment (CDE), ensuring compliance with ISO 19650 standards and UK BIM framework. Work primarily office-based at City Hospital, with occasional travel to other NUH sites. Hybrid working may be available.
Responsibilities
* Lead and administer the Trust's document control platforms (e.g., Viewpoint, Aconex) as a Super User, creating project structures, workflows, and access/security groups.
* Maintain accurate, complete documentation across all specified projects, defining and enforcing naming conventions, metadata and revision history.
* Create and update the “golden thread” documentation required for projects needing to comply with Building Safety Regulator (BSR) requirements, compiling in the format required for final BSR approval.
* Monitor and maintain workflows in the CDE to ensure actions are completed by relevant reviewers within defined timeframes.
* Advise users and report to Project Managers when defined timeframes are exceeded.
* Conduct daily quality control audits on incoming and outgoing drawings and documentation, ensuring errors are reported back to designers and corrected.
* Make judgments about suitability of information to meet users’ needs, resolving issues concerning access to and problems with information systems.
Qualifications & Experience
Essential
* Extensive experience with Viewpoint (4Projects) and Aconex platforms.
* Expertise in ISO 19650 standards and digital workflow compliance.
* Strong reporting and data analysis skills.
* Excellent organisational and version‑control practices.
* Skilled in Microsoft Office Suite (especially Excel and Outlook).
* Ability to interpret technical documents and translate content for non‑technical stakeholders.
* Excellent written and verbal communication skills; ability to build positive relationships across all levels.
* Experience with ISO 19650, digital collaboration tools, and managing capital project documentation in large organisations.
Desirable
* Knowledge and understanding of healthcare standards such as Hospital Building Notes (HBNs) and Hospital Technical Memoranda (HTMs).
* Knowledge of construction processes, techniques and terminology.
* Experience working within a construction environment, preferably in a healthcare setting.
* Experience managing capital project documentation in large, complex organisations.
* Experience with Estates & Facilities capital projects systems.
* Experience training others in specialist systems.
Training & Qualifications
* Understanding of relevant legislation (e.g., data protection) plus information & library knowledge acquired through degree or equivalent experience.

Salary: £32,073 to £39,043 per annum
