Offer description

Reporting to the Facility Manager, we are seeking an enthusiastic Facilities Assistant responsible for managing activities to ensure the smooth running of the office.

You will be ensuring visitors are welcomed, maintaining the office's presentation and upkeep, and managing related contracts.


Contract Details

* 12-month fixed term contract
* Part-time: 15-20 hours per week
* In-office role
* Salary range: £25,000 - £27,000 pro-rata


Requirements


Facilities:

* Assist with general office maintenance, cleanliness, and oversee external contractors
* Meet and greet visitors, handle post and deliveries, organize couriers, and answer calls
* Order office supplies, furniture, and refreshments within budget, and monitor stock levels


Health & Safety:

* Ensure a safe working environment and compliance with relevant legislation
* Conduct weekly and monthly health and safety checks


Administrative Tasks:

* Electronic document filing
* Expense reporting
* Purchase order requests
* Order management via online portals
* Support travel and event planning


Essential Capabilities:

* Strong verbal and written communication skills
* Excellent organizational skills
* Proficiency in Microsoft Office (Word & Excel)
* Positive attitude, reliable, and dependable
* Discretion and confidentiality awareness


Desired Experience:

* Previous office facilities or administrative experience
* Knowledge of purchase orders and supplier dealings
* Experience working in a creative environment
* Experience with travel bookings
