We are seeking a highly motivated individual to join our administrative team. The ideal candidate will have excellent communication, interpersonal, and organisational skills, with the ability to work both independently and as part of a team.
Available hours will be discussed during the interview process and with the successful candidate(s). We may be able to offer some flexibility and are open to splitting the available hours between more than one candidate if appropriate. However, we would expect applicants to be available for the working pattern outlined below.
The current pattern operates on a two-week rotation, with occasional adjustments to cover annual leave or sickness:
Week 1: 8:00am 3:00pm
Week 2: 11:30am 6:30pm
A paid half-hour lunch break is included in each shift.
Main duties of the job
To be responsible for undertaking a wide range of reception and administrative duties along with the provision of general support to the multidisciplinary team. To act as the central point of contact for patients, be responsible for the distribution of information, messages and enquiries for the clinical team, liaise with multi-disciplinary team members and external agencies such as secondary care and community service providers.
Duties can include, but are not limited to, greeting and directing patients, effective use of the appointment system, booking appointments, the processing of information and assisting patients as required.

Fishergate Hill Surgery is a General Practice Partnership open to all patients living within the practice boundary of Preston, Ashton-on-Ribble & Lower Penwortham. We offer primary care services to help patients to manage their health and prevent illness. We have two GP Partners complimented by 4 Salaried GPs, a Nurse Practitioner, GP Trainees, a Clinical Pharmacist, a great Nursing Team, and a friendly reception team. We have full access to a range of ARRS staff including Care Coordinators, General Practice Assistants, First Contact Physiotherapist, and Mental Health Practitioner. Patient list size 6,700. We are also a training practice, supporting the training of medical students from UCLAN and Manchester University.

Job responsibilities
The following are the core responsibilities for the role. There may be, on occasion, a requirement to carry out other tasks; this will be dependent upon factors such as workload and staffing levels:
1. Process incoming and outgoing mail
2. Photocopy documentation as required
3. Process changes to patient registration, deduction of record and new patient registration
4. Input data into the patients healthcare records as necessary
5. Answer incoming phone calls, transferring calls or dealing with the callers requests appropriately
6. Welcome patients and visitors to the organisation, directing requests appropriately
7. Support all clinical staff with general administrative tasks as requested
8. Process and distribute incoming emails
9. Process personal, telephone and e-requests for appointments
10. Signpost patients to the correct service
11. Initiating contact with and responding to, requests from patients, team members and external agencies
12. Code data on the clinical IT system
13. Direct requests for information, i.e., SAR, insurance/solicitors letters and DVLA forms to the appropriate team member
14. Manage all queries as necessary in an efficient manner
15. Monitor and maintain the reception area and notice boards
16. Support all clinical staff with general tasks as requested
17. Scan patient related documentation and attach scanned documents to patients healthcare records
18. Complete opening and closing procedures in accordance with the duty rota
19. To support in the management of repeat prescriptions, ensuring they are processed accurately and efficiently
20. Maintain a clean, tidy, effective working area at all times
