Perinatal Team Administrator/Secretary

SouthWest Yorkshire Partnership NHS Foundation Trust is currently recruiting for anAdministrative Officer to work 18.75hrs as a job share working MondayTuesday and Wednesday morning to support the Perinatal Mental Health Team.

Theapplicant will be one of 3, admin support providing administrative supportto the Perinatal clinical team.

Main duties of the job

Weare looking for someone who has experience of working in a clinicaladministration role, where contact with services users is a key aspect of therole. Our administrative staff members are often the first point of contact forpeople who have been referred to the Perinatal Service, therefore thesuccessful applicant will need excellent communications skills demonstratingthe ability to help and guide service users in a warm and sensitive manner.Experience of working with service users who experience mental health issueswill be an advantage.

Weare looking for an administrator with an NVQ or RSA Level 3 qualification or beable to demonstrate competency at Level 3.

Theapplicant must have good organizational skills and be able to priorities theirown workload in order to meet deadlines, with a good attention to detail in anenvironment of competing demands.

Agood knowledge of Microsoft Office and Excel is essential.

Theapplicant must be able to work as part of a team and have good written andverbal communication skills.

Dutieswill be varied and will include using email, booking appointments, diarymanagement, using clinical systems and dealing with telephone calls. Goodcustomer service skills are essential.

Job responsibilities

Thepost-holder will:

under the supervison/direction of the LineManager/Administrative Supervisor, within a delegated framework for agreedtasks and seeking support as and when necessary, provide a comprehensive,confidential, Secreterial/administrative service to clinical/support services,in an efficient and confidential manner.

provide services within well-establishedpolicies, procedures, protocols, guidelines, whilst acting within the requiredsphere of competences for the role at all times.

Demonstrate sound knowledge of theservice to enable the post holderto contribute and inform decision making within the service.

may work within clinical environments whereconflict resolution may be required.

act as principal point of contactfor users of the service eg,individuals from within/outside the Trust, serviceusers and members of the public etc.

work flexiblyto meet the needs of the service.

develop and maintain good working relationshipsby being, flexible, adaptable, polite, positive and empathetic, communicatingeffectively and informatively.

work with sensitivity and have agood understanding of the service provision and issues experienced by its users.

prioritise own tasks, exercising a degree of independence,initiative and judgement. Assess situations,identify and resolve potential problems within own skill set. Refer and seekguidance on issues outside of postholders level of competency or authorityto the Line Manager.

work withinwell-established departmental/Trust policies, procedures, protocols, guidelinesand established service delivery plans at all times.

use effective verbal/written communicationatall times,incorporating tact, empathy, consideration, courtesy and confidentiality.Adapt style of communication to respond to others user communication difficulties.

Person Specification


Physical Attributes

* A satisfactory sickness record over the previous 2 years (subject to the need to act with fairness and equality of opportunity, particularly where the sickness is related to a disability and/or pregnancy).
* Able to fulfil Occupational Health requirements for the post (with reasonable adjustments if necessary)


Qualifications

* Must be appropriate to the role::
* NVQ level 3 or RSA III or OCR III (or equivalent level of qualification in related subject eg business admin, typing/word processing, customer services)
* Or, be able to demonstrate competency at level 3.
* Willingness to undertake further study/development.

* Copy /audio typing if applicable to role
