Front Desk Administrator

Location: Holywood & Bangor

Job Type: Full-time, Permanent

We are seeking a highly organised, tech-savvy, and customer-focused Full-Time Front Desk Administrator to join our team. This is a pivotal role where you'll combine strong IT and administrative skills with outstanding customer service to ensure every patient receives a smooth, professional, and welcoming experience.

We're looking for someone who thrives on independence, takes initiative, and can confidently manage a fast-paced environment while delivering a first-class patient journey.

We are a well-established, multidisciplinary healthcare clinic with more than 18 years of experience and a client base in the tens of thousands. Our services include:

* Musculoskeletal Physiotherapy
* Podiatry & Chiropody
* Headache & Migraine Clinic
* Women's Health Physiotherapy
* Mat, Reformer & Barre Pilates
* Sports Therapy
* Massage Therapy

With clinics in Holywood and Bangor and a growing team of 14, we pride ourselves on offering exceptional care and creating an environment where both staff and patients feel supported and valued.

What We're Looking For

We want someone who is:

* Highly IT competent, with excellent Microsoft Office skills and the ability to quickly learn and adapt to new systems.
* An excellent communicator – confident, professional, and warm in person, on the phone, and via email/webchat.
* A self-starter who can work independently, use initiative, and solve problems without constant supervision.
* Organised, detail-oriented, and able to prioritise tasks in a busy environment.
* Confident discussing payments and pricing with patients.
* Passionate about delivering an exceptional customer experience every single time.

Key Responsibilities

* Manage the front desk and waiting area independently and efficiently.
* Greet patients warmly and ensure their visit runs smoothly from start to finish.
* Handle phone, email, and web inquiries, converting them into paying patients.
* Take payments confidently and handle conversations about cost with professionalism.
* Use IT systems daily for scheduling, reporting, and communication.
* Troubleshoot administrative challenges and suggest improvements where needed.
* Balance administrative duties with front desk responsibilities in a fast-paced environment.
* Maintain confidentiality and follow established procedures at all times.

Skills & Experience Required

* 2+ years' experience in administration and customer service.
* Advanced IT skills – Microsoft Office essential, with proven ability to adapt to new platforms/software.
* Excellent written and verbal communication skills.
* Strong organisational and multitasking ability.
* Ability to work independently with a proactive, problem-solving mindset.
* Professional, reliable, and confident under pressure.

Schedule: Full-time, Monday to Friday including evenings. In future the role may require weekend working.
