Paediatric Continence Service Administrator

Are you a highly organised, flexible and motivated administrator looking to support children, young people and their families across Somerset?

We are looking for a dedicated Band 3 Administrator to join our Paediatric Continence Service, a countywide team providing specialist support to children aged 0-18 experiencing bladder and bowel difficulties. This role is essential in ensuring the efficient running of our service, and you will be based in Yeovil with occasional travel county wide.

You'll work closely with a friendly and passionate team of nurses, educators and service managers to provide comprehensive administrative and typing support. The role involves acting as a key point of contact for patients and their families, as well as working collaboratively with internal and external partners. In addition, you will offer flexible administrative support to the Paediatric Continence Service as requested by the Administration Manager, helping to maintain a responsive and effective service across both specialties.

We're looking for someone with excellent communication and interpersonal skills, strong IT literacy, and the ability to work both independently and as part of a team. You will need to be adaptable and able to manage a busy workload with competing priorities.

This role is offered at 30 hours per week.


Main duties of the job

You will play a key role in supporting the day-to-day running of the Paediatric Continence Service across Somerset. This includes:

* Acting as a first point of contact for patients, families, and professionals, responding to telephone and email enquiries with professionalism and sensitivity.
* Managing the end-to-end administration of patient referrals and appointments using electronic systems, ensuring timely and accurate scheduling of clinics.
* Typing clinic letters, reports and other documentation using word processing software with speed and accuracy.
* Supporting the team with data entry, information reporting and appointment reminders.
* Helping coordinate stock levels and orders for continence products and enuresis alarms, liaising with suppliers and tracking deliveries.
* Providing administrative cover and support to the Paediatric Continence Service, responding flexibly to service needs across departments.

This role also requires some travel across Somerset, so access to transport and business insurance is essential.

Job responsibilities

This is a varied role requiring strong communication, time management and IT skills. Key responsibilities include:

* Delivering high-quality administrative support, including word processing, photocopying, scanning and filing.
* Supporting the continence service's delivery across Somerset by liaising with paediatric nurses, service users, product providers and external organisations.
* Ensuring referrals are processed and appointments are booked accurately, using systems and Trust patient management software.
* Preparing and distributing written materials for patients and staff, including clinic letters, reports and educational resources.
* Providing ongoing administrative assistance with service development activities, audits, caseload management and transitions to adult services.
* Assisting with data collection and reporting to support service monitoring and improvement.

Person Specification


Qualifications

* Typing/word processing qualification (e.g., RSA II or equivalent)Level 2 qualifications in English and Maths (or equivalent)
* ECDL or similar IT qualificationAudio-typing skills


Experience

* Experience of administrative and secretarial work in a busy environmentProficient in Microsoft Office applications, particularly Word, Outlook, and Excel
* Previous experience working in the NHS or other healthcare, education or social care settingExperience managing clinic bookings and handling referralsExperience preparing meeting agendas and taking minutesAwareness or experience of continence-related services or terminology


Additional Criteria

* Excellent written communication skillsAbility to work effectively as part of a team and with minimal supervisionUnderstanding of confidentiality, data protection and safeguarding proceduresFlexible approach to supporting multiple teams or servicesAccess to transport and appropriate business insurance (for occasional travel across Somerset)
* Familiarity with electronic patient record systems
