We are recruiting for a Ceremonies and Protocol Coordinator for our Events Delivery team who would be based at our St James Market Office in London. Do you have what it takes to be part of the world’s greatest sport and entertainment spectacle?

Responsibilities
* Liaise with suppliers ahead of the season for deliverables
* Organise meetings, distribute agendas and take meeting notes with all promoters
* Create consent forms ahead of each race and distribute to promoters when required
* Distribute Support series details to relevant teams
* Complete all Event Evaluation documents with the Event Protocol Manager and distribute to Race Promotion & Commercial Media. Attend de-brief meetings with Promoter
* Ensure all documents have been received from the promoter ahead of race week
* Plan all aspects of the parade including timings, interviews, operational plans, drawings, confirmations to FIA, teams, and other stakeholders
* Liaise with the promoter regarding the Marshal Award
* Be an integral part of the planning team to organise shows with promoters, agencies, audio teams, production teams and talents
* Organise accreditations for all required parties
* Liaise with F1 Track TV
* Assist with planning rehearsals on site after track activities
* Organise talents/music acts/MCs for the F3/F2/F1 races
* Organise on-site meetings to discuss pre- and post-race details
* Contribute to the planning and execution of shows around the grid prior to race start
* Plan all aspects of special awards and FIA requests such as marshal awards, commercial partner awards, and on-track photo opportunities; including timings, interviews, operational plans, drawings, and FIA confirmations
* Coordinate with promoters, FIA, suppliers, and internal stakeholders on delivery, including timings, operational plans, drawings, flyover requirements, rehearsals, and implementation
* Work with the Event Protocol Manager to create a Grid Wristband document
* Coordinate with promoter protocol teams and FIA to list attendees, order name plates, and ensure correct placement and pre-planned layouts
* Coordinate with promoter and supplier to ensure the cool down room meets expectations and is presentable for IF
* Ensure trophies, caps and Champagnes are collected and ready for podium presentations
* Collect and prepare information required to perform the podium presentation
* Coordinate champagne delivery to site and readiness for podium ceremony
* Ensure trophies and trophy plinths are on site and correct for podium presentation; distribute trophy cases to relevant teams post-race
About You
* Minimum 2 years of live event coordination experience
* Driving license
* Able to work unsupervised but also collaborate within a team
* Process driven
* Good working knowledge of the Microsoft suite
* Multiple language skills would be advantageous
