KEY RESPONSIBILITIES:
Team Management & Communication
· Aiding in the training of new receptionists to the Front of House team along with Manager
· Supervise and assist front of house team on day to day operation
· Control the cash and credit card handling during her/his shift
· Ensure that daily banking is accounted for in line with company procedure
· Assist with purchase order of supplies such as stationeries, chemicals, and other items needed in the hotel
· Assist with weekly auditing of Paid Outs and Petty Cash, including requesting cash to replace floats for the Capital Hotel
Customer Service
· Meeting and greeting all guests arriving to the Hotel.
· Assisting and liaising with VIP special requirements including the meeting and greeting.
· Dealing with customer complaints and resolving in a calm and professional manner
· In charge of dealing with special requests by guests such as flower arrangements, birthday cakes etc
· Pre-empting guest's requests where ever possible
· Obtain feedback from internal & external customers on an ongoing basis
· Providing all feedbacks to General Manager and following up with positive & negative comments
Incident Management
· Report any incidents to Operations Manager / General Manager and contact emergency contractors where possible
· Reporting any Health & Safety issues to Health & Safety competent person
Daily operations
· Run daily operations efficiently and smoothly
· Undertake all aspects of the check in and checkout procedure
· Ensure that all registration details are updated on Opera system including nationality and email addresses
· Be visible and approachable to all guests and handling all requests with efficiency
· Manage all guest requests and handling guest complaints, ensuring that these are resolved efficiently
· Managing room allocation for the next day, checking all correspondence and making sure all details on Opera and daily sheet are correct
· Work well with housekeeping to ensure that the public areas are always neat and tidy
· Accurately receiving, inputting and responding of all reservations.
· Keeping the Front Office SOP manual up to date
· Preparation of weekly VIP and weekend VIP list to surprise and delight the guests
· Supervising receptionist in the preparation of daily sheets
· Attending morning meetings in the absence of Reception Manager
· Updating timesheets in absence of Reception Manager
· Work closely with the Food and Beverage Team as well as Housekeeping Team
· Handle any guest complaints and report them to the Operations Manager
· Any other ad-hoc duties as and when required
