We are looking for an administrator/medical secretary to provide comprehensive and efficient support to the Consultants and wider medical team. By personally assisting with the administrative workload, you will help to enable the Consultants to optimise clinical commitments. It is essential that the post holder exercises initiative and judgement using acquired skills and knowledge, maintaining confidentiality at all times.
The post holder will be conscientious and provide an empathic and sensitive point of contact for patients/relatives and carers.
Previous NHS experience would be an advantage, as well as the ability to work on your own initiative. We are looking for a team player with excellent communication skills, and the ability to maintain Trust Values throughout all aspects of their work.
Main duties of the job
Key Responsibilities Will Include
* Provide secretarial support to named Consultants
* To efficiently deal with incoming and outgoing calls which can be high in volume
* Maintaining and ensuring that efficient systems and processes are in place to effectively support your team
* To work as a member of the secretarial/admin team ensuring deadlines are met and adequate secretarial cover is provided
* To be responsible for the organisation of meetings and booking of rooms as necessary
* Receive, sort and prioritise daily correspondence
* Prioritise conflicting deadlines and know when to ask for help

* Education to GCSE English Standard or equivalent
* RSA/OCR 3 typing qualification or equivalent
Work Experience
Essential criteria
* Experience of working in the NHS or similar organisation
* Previous secretarial experience dealing with telephone enquiries, correspondence, office administration and diary management
* Experience of working to protocols and procedures
* To have supervisory skills and the ability to delegate work appropriately
Desirable criteria
* Experience of working in a multi-disciplinary or busy team environment
Knowledge/Skills/Abilities
Essential criteria
* Excellent customer care skills to support a positive patient experience, and an articulate, confident manner, both face to face and on the telephone
* To have excellent organisational skills and meticulous attention to detail
* Excellent time management and task management skills in order to respond to the demands of the post and be able to work independently
* Excellent IT skills and proficient in using word processing, digital dictation, database and spreadsheet packages, and hospital IT systems
