About the Role

We have a fantastic opportunity for a Business Support Administrator to join our Ground Engineering team working from our offices in Leiston, Suffolk as part of the Sizewell C project.


Role Purpose

To provide a wide range of administrative and analytical support to the project site team, and coordinate security vetting internally and with the client.


Duties

* Maintain accurate and secure paper based/electronic filing systems, including archiving quality records, documents on electronic databases;
* Be fully conversant in MS Office to produce a range of spreadsheets, documents and presentations, as required. Including formatting of documents to client standards;
* Manage incoming quality documents from supply chain and sub-contractors and upload to electronic database;
* Assist team engineers with maintaining lifetime quality records, ensuring filing system is in order and up to date;
* Maintain and update document registers for drawings/quality records/supply chain records, (paper and electronic);
* Arrange and attend team meetings/conferences as required, to take minutes, and ensure appropriate facilities are organised. Distribute to team;
* Issue notice for inspections to the client and process those from supply chain/sub-contractors;
* Perform ad hoc confidential project work, as required;
* Maintain full confidentiality of sensitive business issues;
* Support the security vetting process on the project;
* Support the work of other Administrators during periods of absence or unexpected high volumes of work activity;
* Book UK travel and accommodation;
* Coordinate with the project and client teams all security vetting;
* Ensure that invoices and business expenses are processed in order to be paid on time;
* Ensure a relentless focus on Zero Harm and Right First Time;
* Support the delivery of the project’s Sustainability and Community Engagement activities.


Qualifications

* Substantial secretarial and/or administrative experience within a busy team environment;
* Highly organised and able to work on own initiative;
* Strong communication and influencing skills, with team and general management skills;
* Strong customer focus;
* Excellent typing skills and IT skills including Microsoft Office (Excel, Word and PowerPoint);
* Discreet and confidential and able to handle issues with great sensitivity;
* Excellent team working skills and ability to engage and build effective relationships at all levels;
* Demonstrable ability to prioritise and manage conflicting priorities during busy periods;
* Able to demonstrate a logical, proactive approach;
* Possesses a high degree of attention to detail;
* Proven ability to work well under pressure and to tight timescales;
* Experience in prioritising own/others’ work and of allocating and checking work.
