Ocean Infinity is seeking a Finance Admin Assistant to p rovide day-to-day operational support to the Finance function by administering key “employee spend” systems — Expenses, Travel and Time reporting — ensuring accurate user access, policy compliance, clean data flows to Finance, and timely support to the business. The role will also support treasury administration including payment support and general finance admin. What you will do: Expenses – System administration & controls Own day-to-day administration of Yokoy: user setup, roles, and troubleshooting (including SSO/profile issues). Support expense policy compliance: ensure correct approvals, spend limits, delegation rules, and receipt requirements are followed. Maintain the integrity of finance master data used in the tool (cost centres, project codes, GL mapping alignment with NetSuite, VAT/tax logic where relevant). Monitor exceptions: failed postings, missing receipts, card feed issues, and resolve/escalate with system owners/vendors. Produce regular reporting: out-of-policy spend, ageing items awaiting approval, high spend trends, and audit support packs. Travel – Travel governance & user support Administer Egencia profiles, traveller/arranger access, POS/country settings, and resolve duplicate/inactive profiles. Support travel policy governance: cabin class rules, hotel caps, advance booking requirements and approval routing. Act as first-line escalation for booking failures and policy application issues; liaise with Egencia support as needed. Monitor compliance and provide insight reporting (out-of-policy bookings, unused tickets, spend trends). Time reporting – Administration & data quality Administer Flex time reporting access and support users with correct time coding. Drive time coding discipline (e.g., reduce “unallocated/none” time), run periodic exception reports, and coordinate corrections with teams. Support month-end by ensuring timesheets are submitted on time and key stakeholders are chased/escalated. Treasury & general finance admin support Support day-to-day treasury administration (maintaining payment trackers, collecting approvals, maintaining bank portal access lists). Assist with operational finance tasks such as vendor onboarding support, invoice query triage, and maintaining finance shared mailboxes / ticket queues. Who you are: Strong admin discipline and comfort working with systems/workflows. Confident communicator with a “customer service controls” mindset. High attention to detail; able to spot issues early and follow through. Good Excel skills and ability to produce simple reports and reconciliations. Experience with expense/travel/time systems (Yokoy/Egencia/Flex ideal, not required). Can-do attitude and commercial mindset Able to manage multiple tasks and deadlines with minimal supervision. Discreet and professional when handling sensitive payroll and employee data. Team player, willing to support across the wider finance function when needed. Comfortable working in an ambiguous environment, with the flexibility to adapt to evolving processes, priorities, and responsibilities Salary for this position: Up to £35,000 per annum Salary : The salary varies for this position as we are recruiting in multiple regional locations and job grades.
