TalkMatters, a dedicated mental health charity based in Dunfermline and committed to supporting the people of Fife, are seeking a highly organised and detail-oriented Charity Secretary to the Board of Trustees. Whether you bring expertise in business, finance, marketing, fundraising, advocacy, policy-making, or lived experience with mental health challenges, your contribution will be vital to our success, so we can continue to provide and expand our essential mental health services across the community.
Duties
* Primarily responsible for the smooth and efficient running of meetings of the trustee board and any sub-committees, providing assistance and support to the chair of the board of trustees
* In conjunction with the board, may also be closely involved in monitoring the requirements affecting the charity and its activities, and ensuring that the trustees' decisions are acted upon, and that all decisions made by the trustees are in accordance with the governing document, reflect the objects of the charity, and continue to provide public benefit
* Along with other trustees, shares a responsibility for keeping the 'conscience' of the charity, by way of ensuring that the trustees continue to take decisions and act in line with the governing document, and comply with the relevant legislative and regulatory requirements the charity is subject to
* Ensuring that all meetings such as Board Meetings, AGM and events are properly administered. Plan meeting dates, book rooms, send out notifications, minutes and other papers. Draw up agendas together with the Chair
* Recording and issuing meeting minutes and monitoring Board member action points
* Dealing with correspondence, writing letters, emails as agreed at committee meetings, summarizing correspondence/emails received at the next committee meetings and drafting replies as appropriate
* Responsible for preparing and filing annual returns in accordance with latest Charity requirements and obligations as set out by OSCR (Scottish Charities Register)
Experience
* Previous office experience is essential; familiarity with administrative roles is highly desirable
* Proficient computer skills with a strong command of Microsoft Office (Word, Excel, PowerPoint, Teams)
* Strong organisational skills with the ability to prioritise tasks effectively
* Prior clerical experience will be beneficial in fulfilling the responsibilities of this role
* Strong communication and interpersonal skills
* Strategic thinking and problem-solving abilities
* Ability to work as a team and be committed to the charity values
* An understanding of charity governance and accountability
* Availability to attend trustee meetings and contribute to decision-making processes
