Department overview: The Project Management Office (PMO) serves as a centralized hub within the AML IT organization, designed to standardize project management practices, improve efficiency, and ensure alignment with strategic goals. Job Purpose: This hybrid role supports the AML IT PMO by driving governance routines and administering the project toolset (currently Monday.com Work Management, transitioning to Jira), whilst also delivering multiple smaller initiatives such as small projects, essential change requests and IT work packages for vehicle programmes. The role requires an organised, proactive individual who can work autonomously, adapt to change, and influence project and programme managers (often more senior) to comply with PMO standards, reporting cadence, gateway readiness and audit deliverables. Key Duties and Responsibilities: PM Tool Administration: Administer and configure Monday.com Work Management and/or Jira (workflows, permissions, fields, automations, extensions, dashboards and reporting). Governance Cadence: Drive weekly reporting across IT project/programme managers; follow up and escalate where required. RAID & Budget Discipline: Maintain and enforce consistent practices for risk registers, RAID logs and budget trackers; ensure updates are timely and accurate. Gateway Readiness: Coordinate stage/gateway readiness and ensure PMs prepare and submit required deliverables on time (without owning pass/fail decisions). Audit Readiness Support: Coordinate evidence collection and action follow-up for audit-related PMO deliverables (overall audit compliance remains with the PMO Manager). Initiative Delivery: Manage delivery of low-to-medium complexity initiatives and change requests, coordinating stakeholders and actions to achieve agreed outcomes. Continuous Improvement: Improve PMO workflows, templates, dashboards and ways of working to reduce friction and strengthen compliance. PM Community Support: Provide guidance and simple documentation to enable consistent adoption of tools and PMO standards. Work with the wider functions/business to ensure adoption of PMO processes. Qualification & Experience: Educated to A-Level / equivalent or higher (or equivalent professional experience). Evidence of ongoing professional development in PMO/project delivery/tooling (formal training or demonstrable experience PMO governance & cadence management: Experience running PMO routines across multiple PMs, including weekly reporting, action chasing and delivery momentum. PM tool administration/configuration: Hands-on experience administering/configuring Jira, Monday.com, or similar (workflows, permissions, automations, dashboards and reporting). Portfolio controls & hygiene: Experience maintaining risk registers, budget trackers and governance artefacts with strong data quality. Gateways / governance deliverables: Experience coordinating gateway readiness and ensuring required documentation is prepared on time. Delivery of small initiatives: Experience delivering small projects/change requests/work packages, coordinating stakeholders and managing RAID items. Influencing without authority: Proven ability to influence more senior colleagues to achieve compliance and outcomes Behaviours: Highly organised, dependable and able to work autonomously with minimal guidance.
