The Warehouse Inbound Office Administrator plays a critical role in supporting inbound logistics operations. This position is responsible for coordinating incoming deliveries, ensuring accurate documentation, maintaining inventory records, and supporting communication between warehouse teams, transport providers, and suppliers. About You Inbound Coordination Schedule and manage inbound deliveries and booking slots Liaise with transport companies, suppliers, and drivers regarding delivery times and requirements Monitor delivery queues and ensure efficient unloading processes Administration & Documentation Process Goods Received Notes (GRNs) accurately and in a timely manner Verify delivery paperwork against purchase orders and system records Maintain accurate inbound records within the Warehouse Management System (WMS) File and archive delivery documentation in line with company procedures Inventory Control Support Assist with stock reconciliation and discrepancy investigation Report damaged, missing, or incorrect goods Support cycle counts and inventory audits as required Communication & Coordination Act as the main point of contact for inbound queries across warehouse and office teams Work closely with goods-in operatives to ensure smooth inbound flow Escalate delays, issues, or discrepancies to relevant stakeholders Systems & Data Entry Accurately input and update data in internal systems Generate reports on inbound performance, delivery volumes, and issues Ensure compliance with company processes and data accuracy standards Health & Safety & Compliance Follow all health and safety procedures within the warehouse environment Ensure compliance with company policies and regulatory requirements Support audits and continuous improvement initiatives Skills & Experience Required Essential Previous experience in a warehouse administration or logistics support role Strong organisational and time management skills High level of accuracy and attention to detail Good communication skills (written and verbal) IT literacy, including Microsoft Office (Excel, Outlook) Experience using Warehouse Management Systems (WMS) Desirable Experience within a fast-paced distribution or fulfilment environment Knowledge of transport planning or supply chain processes Understanding of stock control and inventory processes Key Competencies Ability to prioritise workload in a fast-moving environment Problem-solving mindset Strong interpersonal skills and ability to build relationships Proactive and flexible approach to work About Us GSF Car Parts is one of the UK’s leading automotive parts distributors, supplying thousands of independent garages across the UK and Ireland with parts, tools, garage equipment, and specialist training.
