Overview
The Lead Sample & Shoot Services Coordinator plays a vital role in supporting the Sample & Shoot Services Manager by overseeing sample logistics, shoot preparation, and the outfitting process. This role involves managing both Womenswear and Childrenswear samples for e-commerce and lifestyle shoots, ensuring all tasks are completed accurately and efficiently, and maintaining alignment between teams. The Lead Coordinator also contributes to process improvement, assists in reporting, and ensures that workflow across both areas runs smoothly. Additionally, the Lead Coordinator mentors junior staff and freelancers, ensuring the team is supported and well equipped.
Location: 5 days per week at our North Acton office. This role is for a 12 Month FTC; candidates applying must be comfortable with this.

What You Will Do
Sample Management & Tracking
* Assist in coordinating and tracking sample movements across WW and CW, ensuring everything is logged, tracked, and available for shoots.
* Help maintain accurate records of sample inventory and status, updating the Sample & Shoot Services Manager with any discrepancies or issues.
Outfitting Coordination & Support
* Coordinate the outfitting process for both WW and CW samples, ensuring everything is organized for styling.
* Assist in managing the outfitting room, ensuring that all required items are available and ready for use.
Shoot Preparation & Logistics Support
* Help prepare samples for both e-commerce and lifestyle shoots, ensuring everything is in place and organized.
* Support carnet management, ensuring all necessary paperwork is completed accurately, and assist with packing samples securely for transit.
Collaboration with Internal Teams
* Work closely with Ecommerce, Lifestyle, Social, PR, and other important stakeholders to ensure shoot schedules are aligned with sample availability.
* Maintain regular communication with the Sample & Shoot Services Manager to ensure smooth coordination and execution of tasks.
Reporting & Post-Shoot Process
* Support the Sample & Shoot Services Manager with reporting, tracking sample statuses, and post-shoot returns.
* Ensure that all samples are logged back into the sample room and returned to their proper locations.
* Assist in end-of-season returns, ensuring that samples are separated and processed correctly.
Mentoring & Team Development
* Provide guidance, support, and mentorship to junior staff and freelancers to help them develop their skills and ensure tasks are completed effectively.
* Foster a positive team environment, offering assistance when necessary to support junior team members in their roles.
Process Improvement
* Identify opportunities for streamlining the sample and shoot services process and contribute to continuous improvement.
What We Are Looking For
* Prior experience working in either sample management, shoot logistics, or related fields in fashion production.
* Strong organisational and time-management skills.
* Ability to work collaboratively with cross-functional teams.
* Excellent communication skills and attention to detail.
* Ability to manage multiple tasks under tight deadlines.
* Experience mentoring junior staff or freelancers is a plus.
