Overview
We are looking for a proactive and motivated Senior Operations Assistant to join the Workplace Services team within the Estates Division at the West Hub. This is a key role supporting the Operations Supervisor and leading the Operations Assistants to deliver an exceptional experience for all West Hub users.
You will oversee facilities management services that enable the West Hub's operations, catering, and library services to achieve their strategic goals. This includes supervising the Operations Assistants, managing contractors on site, and ensuring smooth day-to-day operations. Acting as a point of contact in the absence of the Operations Supervisor, you will inspire and lead the team to provide outstanding customer service.
The role also carries responsibility for Health & Safety compliance, fire safety management, and supporting event delivery. You will play a vital part in maintaining best practice and driving continuous improvement in operational processes.
Key Responsibilities
* Manage facilities functions at the West Hub, ensuring cleaning, maintenance, and security services are delivered effectively.
* Support daily operational processes and contribute to developing procedures aligned with Estates Division KPIs and West Hub strategic goals.
* Coordinate event delivery, working closely with the Operations Supervisor and Event Coordinator.
* Plan resources for Operations Assistants, cleaning, and security teams, ensuring smooth event setups and reporting on activity.
* Produce detailed end-of-day reports and escalate operational issues as needed.
* Ensure Health & Safety compliance and manage on-site contractors.
* Act as a role model for exceptional customer service and help foster an inclusive, collaborative culture within the West Hub.
About You
* Experience working in a multi-use venue (commercial or educational), ideally with public access.
* Strong background in events management and operational roles with varied priorities.
* Ability to manage competing demands across diverse customer groups and internal teams.
* Skilled in reporting, data management, and understanding finance processes.
* Experience working with contractors and supporting services.
* Knowledge of operational procedures, including opening/closing, emergency protocols, and daily reporting.
* Marketing skills such as content creation, website updates, and social media management.
* Educated to A-level/NVQ Level 3 or equivalent practical experience.
* First Aid, Fire Warden, and COSHH training (or willingness to undertake).
* Inclusive leadership style with excellent interpersonal skills, tact, and diplomacy.
