We are seeking a dedicated and organized Administrator to join a skill mix team providing comprehensive administrative support to the Education Health and Care Plan Team (EHCP) and the wider children's therapy team. This is a full-time role, working Monday to Friday, either 8 am-4 pm or 9 am-5 pm. Specific working hours will be discussed with the successful candidate.
The role demands high interpersonal skills and personal confidence. A respectful and empathetic attitude is essential, along with the ability to handle sensitive and confidential information appropriately.
Main responsibilities include receiving and processing communications from Local Authorities promptly and adhering to strict deadlines. The candidate must be able to plan, organize workload independently, and support the wider team. Effective communication with clinicians and service managers across Child and Family services is crucial, as well as highlighting delays in the EHCP process when necessary.
Main duties and key responsibilities
1. Prioritize and manage workload effectively, maintaining confidentiality and diplomacy at all times, both independently and as part of a team.
2. Collaborate closely with the Paediatric Children's Therapy clinical team and other relevant managers within Child and Family Services.
3. Adhere to Trust's Information Governance, recording, and data sharing procedures and guidance.
4. Use and update the electronic record system - System1 - with accurate child health records daily, including scanning and uploading information from other services in a timely manner.
5. Manage emails on Outlook and NHS.net, prioritizing based on urgency and importance, and handle queries or signpost as appropriate.
6. Proofread and format clinical letters, assessments, reports, and correspondence, paying close attention to detail and following SOPs.
7. Process incoming and outgoing mail, messages, and distribute appropriately and promptly.
