BACKGROUND TO THE POST
This role is within the Work Based Learning Engineering Apprenticeship Department as an administrator for JLR and Engineering Apprenticeships. The administrator will provide support to the Head of School for Engineering Apprenticeships and Work Based Learning Managers.
POSITION IN THE ORGANISATION
The person appointed will work as a member of the Work Based Learning Engineering Apprenticeship Administration Team based at the Warwick Trident College. The post holder will work on the JLR and Engineering contract as the workload requires and will work on all tasks within the job description.
The post holder will be responsible to the Curriculum Administration Manager for JLR and Engineering Apprenticeships on a day to day basis.
DUTIES AND RESPONSIBILITIES
· To provide administrative support using a variety of software packages such as Microsoft Office (Word, Excel, and PowerPoint), Google Drive (Google Sheets, Google Doc's, Google slides, Google Forms) and Gmail to produce correspondence, documents and maintain records, spreadsheets and databases. Plus filing, photocopying and taking minutes.
· Provide a high level of administrative support to the Head of School for Engineering Apprenticeships, Work Based Learning Managers and Apprentices.
· Inputting and maintenance of accurate data using a variety of college IT Systems.
· To support the employer's with their own internal administrative policies and procedures such as sickness and absence reporting, disciplinary processes, resignations and terminations of employment etc.
· To monitor, log, support and facilitate apprentice 1-2-1 review schedules and behavioural review interviews in a timely manner in close liaison with the resident WBLM's.
· To maintain a high level of data protection in accordance with all current and future Data Protection Act Policies.
· To maintain equal opportunities in all aspects of the work of the team for staff, employers and learners.
· To ensure a duty of care for the apprentice is always maintained both inside and outside of the office
In order to support during busy exam periods, you may be asked to undertake exam invigilator duties. The College will provide training.

HOURS OF WORK
The post holder will be expected to work such hours as are necessary for the proper performance of their duties and responsibilities, normally 16 hours per week.
LEAVE ENTITLEMENT
The College offers a generous annual leave entitlement to support staff, of 38 days leave (to include 25 days leave, 8 statutory Bank Holidays, 4 College closure days at Christmas and an annual Relaxed Day). This will rise to 41 days after 5 years' service (28 days, 8 statutory Bank Holidays, 4 College closure days at Christmas and an annual Relax Day) pro rata for part time.
PLACE OF WORK
The principal place of work will be the College's premises based at our Warwick Trident College. However, the post holder may be required to work on either a temporary or an indefinite basis at any premises at which we may provide services.

Essential Attainments
* GCSE Grade C or above in English and Mathematics, or Level 2 equivalent qualification.
* Business Administration NVQ Level 2 or equivalent qualifications.
Desirable **Attainments
* The use of a vehicle of which mileage will be paid for expenses incurred during working duties. The mileage rate is paid at our casual user rate, which is currently 45p per mile.
* A UK driving licence free from major endorsements.
