We are seeking a highly organised and detail‑oriented, Family Law experienced Legal Assistant/Secretary to provide essential support to our fee earners and wider team. This role blends high‑quality legal secretarial work, including audio typing, document production, and diary management, with wider administrative responsibilities to ensure the smooth and efficient operation of the office.
The ideal candidate will be proactive, flexible, and professional, with strong communication skills and the ability to manage a varied workload. Legal Secretarial experience is essential.
Key Responsibilities
* Audio typing and copy typing of legal correspondence, file notes, and documentation with speed and accuracy for a pool of fee earners
* Production of professionally presented documents, forms, letters, court documents, and other legal materials as directed by fee earners.
* Maintain efficient diary management for fee earners, including scheduling appointments, court dates, client meetings, and internal deadlines.
* Manage incoming and outgoing correspondence, including preparation of enclosures, letters, and email drafting.
* Support fee earners with document bundling, printing, scanning, and filing tasks.
* Maintain accurate electronic and paper filing systems, including file opening, closing, archiving, and ensuring compliance with firm procedures.
* Monitor and update case management systems where relevant.
* Assist with onboarding new clients, including collecting forms, ID verification, and updating records (e.g., through digital verification tools).
* Handle incoming enquiries by phone and email, recording accurate messages and directing information to the appropriate team member
Office & Team Support
* Act as a first point of contact for clients, providing a professional, calm, and supportive service
* Assist in the coordination of office activities, ensuring the smooth running of daily operations (e.g., facilities support).
* Support fee earners with diary management, travel arrangements, meeting preparation, and other PA‑style tasks where needed.
* Work collaboratively with colleagues to ensure team deadlines and client expectations are consistently met.
* Provide cover for other administrative/secretarial staff during absences or busy periods.
Skills and Knowledge
* Prior experience as a Legal Administrator, Legal Secretary, or Legal Assistant, specifically in Family Law
* Strong and accurate audio typing skills, ideally gained in a legal or professional services environment.
* Excellent command of written and spoken English, with strong attention to detail in document production.
* Good working knowledge of Microsoft Office, particularly Word and Outlook; ability to learn case management systems.
* Ability to multitask and prioritise effectively in a fast‑paced environment.
* Professional, friendly, and confident communication skills with clients and colleagues.
* High levels of organisation, confidentiality, and reliability.
* Familiarity with audio transcription systems and legal document formats
* Experience supporting fee earners directly with PA‑style duties such as diary management and meeting coordination.
