Offer description

As a receptionist you will be required to co-ordinate all administration and operational procedures related to the day-to-day management of the reception area at ADC as well as providing Administration support to the Stocks and Administration Manager.
Working days: Monday - Friday
Duties will include:
Answering the telephone in a clear, positive, and professional manner to ensure good customer care of all enquiries.
Greeting all visitors and members of staff in a professional, enthusiastic, and welcoming manner
Deliver high levels of customer care and service delivery.
Monitoring usage of the meeting rooms and reception area.
Be fully conversant with all emergency procedures and take responsibility for the speedy and effective evaluation of the facility in the event of an alarm activation requiring such action
Ensure that the Reception Areas are maintained in a clean, tidy, and safe condition at all times, thus projecting a professional image.
Maintain security for the building by providing passes to visitors and oversee that visitors sign in and out as well as providing directions when necessary.
Notifying appropriate people that a visitor has arrived to see them.
Manage the staff sales process, including card payment processing.
Manage outgoing and incoming courier deliveries and the distribution of post around the site.
Handling correspondence, managing diaries, scheduling appointments, and organising meetings.
Booking and arranging travel, transport, and accommodation.
To facilitate meetings, arranging refreshments and catering.
Various ad hoc requests.
What We're Looking For:
Customer service and care skills
Experience of customer service and working on a reception desk
Proficient in Microsoft Office (Outlook, Word, and Excel)
Strong communication and organisation skills
The ability to prioritise and multitask efficiently
Excellent attention to detail
Discretion and trustworthiness
Prior work experience in a customer facing or similar administrative support role is an advantage
Experience of Avaya telephone systems is desirable
