Administration Apprentice – Staff Health and Wellbeing

About the role

You will be responsible for a variety of administration duties and will work independently as part of the wide administration team within the Occupational Health Department. You will be the first point of contact for service users via phone, email or in person, assisting the team in creating a welcoming, caring and safe environment. You must have a good standard of general education, excellent telephone manner and the ability to work under pressure.
Main duties
* Provide administrative and receptionist support for all services provided by the Staff H&WB Department.
* Act as the first point of contact for staff, managers and service users by e‑mail, letter, telephone or face‑to‑face.
* Collect, date‑stamp and distribute post accordingly.
* Triage and manage the department email inbox, ensuring appropriate action is taken in a timely manner.
* Be reactive to short‑notice changes that affect clinic capacity; amend and move appointments, ensuring staff are seen by the correct clinician.
* Provide effective and comprehensive secretarial and administrative support to the Staff Health and Wellbeing Team.
* Have an excellent understanding of department processes and procedures in relation to pre‑placements, management referrals, and support services such as counselling.
Apprenticeship programme
The Apprenticeship programme will be delivered by an external NHS‑approved training provider and includes interactive workshops, a tutor and support from the MKUH Apprenticeship Team.
To apply, you must have evidence of Maths & English GCSE passes (or equivalent). The following criteria apply:
* You are 16 years old or over.
* You have resided in the UK or EEA for at least the past 3 years.
* You can produce evidence of your Maths & English GCSE (or equivalent) qualifications.
* You will not be in full‑time education at the point of starting this role.
* You have not previously undertaken a similar or higher qualification (e.g., a degree in Business Administration).

Qualifications and knowledge
* GCSE/CSE or equivalent in English and Maths.
* Experience of administrative, reception and clerical work.
* Experience of customer service.
* Experience with a variety of computer software packages.

* Previous employment within an NHS background.
* Occupational Health experience.
