About the role
You will be responsible for providing front-line administrative and support services that ensure the smooth and effective functioning of the team, which includes providing a reception service for visitors to the office. This role follows routine processes, supporting customer enquiries, and maintains accurate records in line with established practices and guidelines. You will make appointments and offer support to Harbour colleagues to ensure that our customers receive appropriate advice and signposting.
The role also ensures that effective communication and coordination are maintained both internally and externally, supporting a high standard of service delivery.
About you
You will have an SCQF Level 4 qualification in Administration or equivalent experience.
You demonstrate experience of:
* handling inbound customer enquiries via phone and email
* handling sensitive or challenging customer interactions on the phone and in person
* maintaining accurate customer databases and records in real time
* recording and prioritising service issues and referring them to appropriate teams
* tracking outstanding cases and pursuing updates to meet service targets
You will have developed skills in:
* using customer relationship management (CRM) systems to ensure accurate customer and work order data
* handling enquiries by phone, email and face-to-face, including complaint triage and escalation
In addition, you must have an understanding of professional telephone and written communication for customer interactions and an awareness of GDPR and confidential data handling, including disclosure management.
