NuclearMedicine are looking for a highly motivated, enthusiastic member of staff tojoin our admin and clerical team. TheNuclear Medicine departments operate 6 gamma cameras across St James Hospitaland Leeds General Infirmary, scanning outpatients, inpatients andpaediatrics. This busy department requires an individual with excellentcommunication skills to work as part of our administrative team. Theapplicant should have accomplished computer skills, a caring and friendlydemeanour, and a keen eye for detail. The post is both challenging andrewarding and is most suited to an individual who can prioritise theirworkload, respond quickly to changing situations and work effectively in abusy environment. An understanding of the basics of the procedures undertakenin Nuclear Medicine and PET CT imaging would be advantageous to answerpatient enquires effectively and efficiently. This is a rotational, full time(37.5 hours a week) position so will involve working at both St James andLeeds General Infirmary.


Main duties of the job

Thisvaried administrative role will involve a number of different clericalduties. These include; being a first point of contact for patients arrivingat, or ringing the department, answering patient queries, managing patientreferrals and appointment bookings, adding reports to radiology systems,dealing with phone calls/emails from other service users or staff membersfrom outside of the department, managing the generic Nuclear Medicine emailinboxes and such like. You may also beasked to type letters, take minutes for meetings, be responsible for stockand organise room bookings/meetings.Please see attached Job Description for more information.

Job responsibilities

Thepost holder will be responsible for the provision of a full and effectiveadministrative and clerical support service to the Service. He/she will alsobe responsible for inputting data onto the departmental database system andproducing reports as required. The post holder will be expected to arrangeand plan her/his own work on a day-to-day basis within the overall demandsand priorities of the department.

To provide a full clerical supportservice to the department including organising, sorting and filing documentsand papers; dealing with incoming and outgoing paper and electronic post asrequired; photocopying, faxing and distributing information by post or email;typing letters and other documents

To deal with communications and adhoc enquiries from staff and service users, members of the public, and a widerange of external organisations and professionals. Receiving and relayinggeneral verbal/written messages and responding by supplying straightforwardinformation and guidance or referring to the relevant member of thedepartment or other Trust staff as necessary.

To provide administrative supportfor meetings as required e.g. organising meetings including checking accessarrangements, booking rooms and refreshments, sign language and ethnicminority language interpreters as appropriate, organising travel arrangements,administering expense forms, liaising with members regarding dates, sendingout notice of meetings, agendas and minutes.

To attend and service meetings asrequired. This could include welcoming participants, organising refreshmentsand taking minutes and typing them up and circulating them after approval.

To maintain and update mail-outsand labels for Trust and staff departments, advisory group members andvoluntary and community organisations and organising electronic or papermail-outs to such groups as required (typing, copying and posting etc.)

To monitor stock levels andre-order stationery and office supplies as required, and non-stock items asnecessary.

To adhere to relevant StatutoryInstruments and Trust policies and guidelines e.g. Data Protection, Healthand Safety, Confidentiality and personnel policies and guidelines.

Use departmental database forrecording appropriate information as requested and producing reports.

Any other duties commensurate withthe grade which may be required from time to time to ensure the effectiverunning of the service.

Skills & Behaviours

* Personal or work experience of working with diversity e.g. disabled people, people from different cultures


Qualifications

* GCSE or equivalent in English and Maths


Experience

* Previous clerical/administrative experience
* Competent in word processing, spread sheet packages and in using databases
* Work experience in a health or social care setting
