As a Keying Coordinator, y ou will be a key member of our Operations team with Two Keying Leads and Four Keying Coordinators, of which you will be one. In the Summer around 100 temporary workers join the team to ensure millions of exam papers are checked and delivered accurately and on time. During each Examination Series your role as Keying Coordinator, along with other Coordinators, will take responsibility for supervising our temporary workers to ensure they are supported, monitored for quality and performance and trained.

What will I be doing?

You will be responsible for a range of tasks that ensure the electronic data associated to an exam paper reconciles accurately so that each student gets the right result. You will use an inhouse bespoke data system alongside Word and Excel to ensure the last check for accuracy is completed, therefore strong Excel skills and attention to detail is essential as well as a clear head and a proactive can-do attitude .

You will be highlighting errors and making amendments, where necessary, logging issues as you go and ensuring you are working as a team to spot inconsistencies and errors. The nature of the role can be repetitive on occasions so this will be something you will be happy with. The team pride themselves on being positive and supportive and work well together in times of pressure .

The team are increasing in levels of responsibility and new ways of working, so this is a great time to be involved in learning alongside everyone and focusing on future innovations and developments. During the quieter periods there is a focus on lessons learned and continuous improvement and your input will be vital.


You will work 35 hours a week Monday to Friday for the majority of the year, working 2 days in the office and 3 days from home, however during the Exam Series we need you to be able to come into the office 6 days per week for up to 10 hours per day to ensure students and teachers across the UK get the results they need to succeed. You will be financially compensated for any additional hours worked which could see a significant increase in your salary.

* Proven experience to motivate and guide teams under pressure.
* Confident with data analysis and presenting complex information.
* Proven experience in identifying and implement innovative solutions.

Summary

Purpose:

As a key member of the Electronic Script Processing Team, the Keying Coordinator is responsible for a range of tasks that ensure that the electronic data associated to a physical script reconciles accurately so that each candidate gets the right result.

Achieving high quality standards, maintaining agreed productivity schedules and contributing to process improvement are all key aspects of the role.

During each Examination Series the Keying Coordinator takes responsibility for supervising a team of temporary workers across day, and during the peak summer series, twilight shift to deliver a successful series.Landscape:

Have a ‘step up’ mindset: able to manage own time effectively and takes responsibility for own work, holding themselves to account
Experience of working in an education/exam environment desirable
Results focused: must be able to work at pace in a high-pressure delivery environment whilst maintaining high levels of accuracy
Good written communication skills with attention to detail and accuracy
Open to giving and receiving feedback and committed to improving self and working practices


Activities:
Operational Responsibilities:
Support the Keying Manager in the gathering of requirements, set up, delivery and lessons learned of all series keying activity
Proactively manage keying exceptions to minimise customer queries.
Contribute to the preparation of any necessary supporting materials such as work instructions, training collateral and quality assurance checklists.
Actively contribute to the development of process improvement initiatives and support the implementation of these initiatives in keying.
Provide cover for other Keying Coordinators in their absence
Give support to other Operations departments (EAD and SCO) as required

Summer Series Responsibilities:
Operational Responsibilities
• Have a clear understanding of the Working Instructions for the relevant operation ensuring any changes are communicated, understood, documented and controlled through the Keying Manager.

Team Leadership
Supervise and mentoring of staff in line with the culture and values of AQA.
Ensuring the allocated team are fully trained and have a clear understanding of all processes to be carried out.
Monitor quality and performance of the team against the requirements of the project.
Identifying any issues with understanding or performance of duties within the team and resolving or escalating as appropriate.
Ensure all labour movement, attendance, absence, leavers etc. are accurately recorded monitored and reported.

To be successful in this role, you will need to know:
Excellent communication skills, verbal, written, report writing and presenting management information to senior stakeholders
Successful collaboration and stakeholder management skills, comfortable influencing at all levels, able to work across business areas and adapt approach for differing audiences
Experienced line and matrix manager who can supportively work with teams and constructively challenge to drive business outcomes, motivating individuals and cross-functional teams
Track record of delivering at pace combined with flexing and adapting to evolving business need
Be results-focused and have experience of identifying, implementing and embedding change across people, processes, planning and technology
Understanding of risk management principles and experience of its use to drive delivery and business excellence
Have a ‘step up’ mindset and confidence to challenge the status quo, identify areas for improvement and make change recommendations to delivery leads
Data and evidence driven with expertise in analysing and assessing complex information situations and issues and deploying highly developed and innovative problem-solving skills.
