Finance and Reporting Administrator
Reports to: Operations Support Manager
Salary: £26,000 – £28,000 per annum (full-time, depending on experience)
Location: Basingstoke - Hybrid (with occasional travel to office as required)
Hours: 37.5 hours per week
Skylight Psychiatry is a forward thinking, dynamic mental health service. We are a CQC registered service delivering person-centred assessment, care and support, with our ultimate aim being to improve the lives of people with neurodevelopmental conditions such as ADHD, Autism and Learning disabilities.
Role Purpose
The Finance Administrator will support the smooth running of financial processes at Skylight Psychiatry Ltd, focusing on invoicing, reconciliations, payroll support, and financial data reporting. They will play a key role in ensuring accurate and timely invoicing to NHS Integrated Care Boards (ICBs), reconciling contractor invoices against clinical activity, and maintaining accurate financial records to support compliance, audits, and management reporting.
Key Responsibilities
· Invoicing
o Generate and issue invoices to NHS ICBs for completed patient assessments.
o Maintain accurate logs and records to evidence completed activity.
o Provide supporting data when requested, ensuring patient confidentiality is protected.
o Track payments received and support credit control by flagging overdue invoices.
· Reconciliation
o Check contractor invoices against bookings and reports in the patient record system.
o Flag discrepancies to the Operations Support Manager or COO for resolution.
o Maintain clear records of reconciliations for audit and counter-fraud purposes.
o Coordinate with Accounting team to reconcile invoices
· Financial Reporting
o Collate data on numbers of assessments completed per month.
o Provide summary figures to support internal reporting and external audit requests.
o Contribute to monthly management reports with income and activity data.
· Payroll Support
o Prepare monthly pay adjustment schedules (e.g., overtime, additional hours, or allowances) for submission to the payroll provider.
o Maintain clear records of adjustments, but not directly process payroll.
o Liaise with the HR/Operations team to ensure payroll accuracy.
· General Finance Administration
o Work with Accounting Team to organise financial records and digital filing systems (XERO).
o Support the Senior Management Team with ad hoc finance-related tasks.
o Provide data for compliance checks, audits, and inspections (CQC, NHS, counter-fraud).
o Support the transition to new finance and reporting systems as required.
Person Specification
Essential
· Strong numeracy and attention to detail.
· Experience of working with financial or administrative systems.
· Proficiency with Excel and financial record-keeping.
· Organised, reliable, and able to meet deadlines.
· Ability to handle sensitive financial and patient data with confidentiality.
· Strong communication and teamwork skills.
Desirable
· Previous experience in healthcare finance or NHS invoicing.
· Familiarity with patient management systems.
· Understanding of payroll processes and financial reporting.
· Experience with accounting software (e.g., Xero) or NHS invoice portals (e.g., Tradeshift).
