A motivated professional with excellent interpersonal skills and proposals support experience to work with the Bid Management team in putting forward high-quality submissions within the Hard Services sector of Facilities Management from start to finish.
Job Purpose
We have an exciting opportunity for a highly capable individual to help us increase the quality and quantity of bids and support successful delivery of all tender documentation. This role requires a motivated professional with excellent interpersonal and writing skills who will own the bid process from start to finish.
This role suits someone with bid management experience in either Hard Facilities or Mechanical & Electrical services. The successful candidate will have experience in bid management and/or a number of years in a bid writing position.
Key duties
Support within the Bid Team and Project management from pre-qualification to submission.
Bid Manager Duties Include:
* Work within the company Bid Process to support the delivery of high-quality tender materials.
* Develop collateral by writing/editing input from stakeholders including sales, marketing, legal, and operations.
* Maintain knowledge of company practices to ensure broad scope of responses.
* Participate in peer reviews to ensure bids are compelling and attractive.
* Lead on complex proposals.
* Implement proposal procedures and ensure governance.
* Deliver compliant, professional proposals within customer deadlines.
* Develop proposal strategies and themes.
* Analyze RFP/bid requirements for compliance and responsiveness.
* Build and track proposal compliance matrix.
* Review storyboards and proposal sections for adequacy and page limits.
* Create team review plans for proposal evaluation.
* Conduct progress meetings and maintain schedules.
* Use creative skills to present the company as a quality solutions provider.
* Understand tender questions and assemble structured, strategic responses.
Maintain Good Working Relationships Across the Business
* Directors, Business Development Managers, Bid Team, Operational Managers, Subject Matter Experts.
Bid Submission and Project Coordination
Manage bid documentation submissions, develop project plans, coordinate internal teams, meet deadlines, and ensure compliance with customer requirements.
Systems and Communication
Proficiency with MS Office, CRM tools, and other systems as required. Communicate effectively at all levels and work well in teams.
Additional Responsibilities
* Proofread documentation.
* Support bid planning, resource management, and risk assessment.
* Assist in bid structure and document production.
* Liaise with internal teams and external stakeholders for budgets, schedules, and documentation.
* Monitor bid progress and resolve issues.
Key Skills and Experience
* Proven success in bid writing or related experience.
* Experience in facilities management industry is advantageous.
* Fluent in English, with excellent writing and communication skills.
* Ability to interpret complex documents, motivate teams, and work under pressure.
* Strong organizational, interpersonal, and technical skills.
