We require an enthusiastic, hard-working person to play a vital role in the administration of this screening service which forms part of the National Diabetic Eye Screening Programme. The post involves dealing directly with the public - mostly on the telephone - so experience of handling a high volume of telephone calls will be advantageous. You will also be in contact with GP practices and other health professionals, so health-related experience and specifically an understanding of diabetes is a definite advantage.
Main duties of the job
You will have good database and spread sheet skills and your ability to organise and prioritise your workload in a logical and methodical way will be key. You will need to be calm and approachable, have an excellent telephone manner, and be able to concentrate despite frequent interruptions. It is vital you can work well alone as well as part of a team. You should have a good general education with the equivalent of 5 GCSE Grade 4 (level C) or above and excellent written and oral communication skills. Experience of working in a busy dynamic office environment is desirable.

Detailed job description and main responsibilities
Ensure full knowledge of all local and national protocols and follow all protocols for dealing with administration processes within Diabetic Eye Screening and assist any support staff in coordinating their workload.
• To have a clear understanding of the performance indicators the Trust must meet, both local and national, and to take the necessary steps to ensure these are not undermined.
• To participate in a rotational plan to support the management of Brighton and Sussex Diabetic Eye Screening Programme administration team and, if required, the other teams in the service.
• Maintain and update Digital Healthcare database of all patients registered as diabetic within Brighton and Sussex Diabetic Eye Screening Programme.
• Book appointments for patients contacting the Administration Centre making sure patients are seen within the nationally prescribed maximum waiting times.
• Register, check, amend and enter patient details on the Diabetic Register and Digital Healthcare database.
• Follow appropriate procedures in dealing with complaints.
• Maintain effective electronic record keeping system for all data and paperwork.
• Undertake general office duties including photocopying, faxing and date stamping of correspondence.
• To print out and collate patients’ information leaflets
• Keep up to date with any computerised systems introduced and attend any training required. To be proficient in computerised patient administration system.
• Maintain, review and update administrative service and other procedures and systems.
• Ensure that transport is available for patient journeys and organise as necessary.
• To ensure one’s own work area is kept free from hazards, that equipment is used according to instruction, that potential hazards are rectified and reported as appropriate and that accidents are reported promptly and recorded accurately in line with organisational policy.
