Facilities Management
- Manage the day‑to‑day running of The Power Centre, including service providers and the management agent to deliver a high‑quality, cost‑efficient facility.
- Line‑manage the onsite cleaner, ensuring the site remains welcoming and clean at all times.
- Maintain records of servicing, site plans and other documentation to facilitate future maintenance work.
- Administer the site access pass and sign‑in system, coordinate keyholders with the alarm company, and issue or cancel security staff passes as required.
- Manage external contractors, ensuring compliance with RAMS and that all works are communicated to Power Centre users to minimize disruption.
- Manage the annual budget, including AOP process, tendering, sourcing suppliers, payment terms, PO process, invoicing and monitoring to keep the cost centre within budget.
- Act as the point of contact with the Manor Royal Business Improvement District.
- Coordinate communication of key facility messages to other teams and site users.
- Support other office functions by forwarding expenses, maintaining training files, handling HR information, office supplies, copier maintenance, replenishing toner and managing the room‑booking system.
- Act as the main point of contact and coordinator for internal and external visitors, ensuring visitor experience is smooth.
- For customer and VIP visits, take lead in preparation, briefing colleagues and ensuring a plan is in place.
- Organise additional requirements such as meeting space and catering.
- Coordinate with all users to maintain a calendar of events and important visitors.
- Sign for all deliveries, inform recipients, open unnamed post and distribute accordingly.
- Manage suppliers, including sourcing, negotiating quotes, payment terms and setting up accounts.
- Schedule all preventative A/C maintenance and address urgent & emergency maintenance.
- Schedule PAT testing for electrical equipment as required.
- Assist the Site H&S Manager in maintaining safe operations by coordinating First Aid and Fire Marshal training and following up on site‑specific safety measures.
EA responsibilities
- Diary management: schedule meetings with agreed agendas, resolve conflicts and block time.
- Arrange travel and accommodation, including visa applications where required.
- Process expenses accurately and on time.
- Organise on‑site and off‑site team and external meetings, including attendance where necessary.
- Maintain confidentiality at all times.
- Use Adobe Sign to collect and file signatures for the I&PD Director, internal colleagues or suppliers.
- Provide administrative support for the I&PD Leadership Team, including project administration, scheduling meetings, raising POs, maintaining project documentation, budget and test‑request administration and chasing actions.
Requirements

- Computer literacy and confidence in Google Suite (Sheets, Slides, Meet, Docs).
- Prior experience in FM and executive‑assistant/administrative roles.
- Ability to manage workload, multitask and prioritise to meet deadlines (including occasional out‑of‑hours work).
- Ability to work under pressure while maintaining a calm, professional approach.
- Discretion and integrity in handling sensitive or confidential matters.
