Responsibilities
* Work as part of a speciality team providing full secretarial support for consultants and junior medical staff.
* Work closely with the team to ensure all clinics are typed speedily and accurately according to the Trust’s guidelines.
* Typers all correspondence relating to outpatients and inpatients, as well as departmental correspondence.
* Receive enquiries from patients and staff, resolve straightforward enquiries and forward more complex issues to the most appropriate member of the team; liaise professionally with all departments regarding admissions, waiting lists, ad‑hoc ward attenders, and cancellations to ensure hospital policies are adhered to.
* Organise meetings and appointments for consultants and the speciality team, making adjustments in line with agreed protocols where necessary; set up and maintain filing systems to ensure all documents are accurately and appropriately archived.
* Obtain investigation results and exercise judgment to ensure that medical attention is urgently drawn to histology and urgent telephoned results, and file all results in patients’ records.
* Track patients’ notes in the office; open and distribute post, prioritising urgent items and ensuring relevant documentation is attached; act promptly and appropriately to all e‑mail correspondence.
