Norwich Walk-in-Centre is looking for a Receptionist to join our friendly team on a part-time basis, working 15 hours per week.
You will be reliable, dependable, passionate, and committed to delivering high-quality healthcare, working closely with the reception team and supporting clinicians.
You should have excellent communication skills, as you will register patients at reception and manage patient flow in a timely manner.
Main duties of the job
The role involves providing reception and administrative support to the Walk-in Centre (WIC).
To provide an efficient and helpful service to patients and clinical teams within the Walk-in Centre by acting as a focal point and ensuring excellent communication between patients, clinical staff, other NHS agencies/services, and the patients' home practice.

Norwich Walk-in-Centre is open from 07:00 to 19:00 during weekdays, weekends, and bank holidays.
Job responsibilities
Main Job Responsibilities:

Reception Duties:
* Support in answering requests via email and our website.
* Liaise with patients to book and manage appointments, and send text messages regarding WIC appointments for respiratory clinics and telephone consultations.
* Direct patient queries to the appropriate service/clinician.
* Liaise with other GP practices regarding their patients to ensure appropriate continuation of care.
* Frank mail and ensure it is ready for collection at 16:00.
* Maintain an efficient clinic appointment and ledger system.
* Prioritize appointments based on prevalence and urgency.
* Receive patients and visitors, directing them as necessary.
* Register new patients at the point of presentation and keep accurate data records.
* Assist patients with NHS forms and provide advice as appropriate.
* Update noticeboards, leaflets, and other literature as requested.
* Handle all enquiries and refer to the appropriate staff member.
* Inform patients of charges for private services, accept payments, and issue receipts.
* Arrange taxi/ambulance transportation requests.
* Inform/advise clinical staff about patients waiting to ensure timely assessment.
* Create and capture data and reports for service review and development.
* Ensure clinical equipment and PPE levels are maintained.
* Work with NNUH staff to streamline patient flow to the correct services within NNUH.
Management of Medical Records:
* Print electronic summaries of patient records and send them to home practices as appropriate.
* Manage building systems, ensuring consultation rooms are unlocked and prepared, and public areas are clean and tidy.
* Report health and safety concerns.
Operation of Telephone Systems:
* Handle incoming and outgoing calls.
* Divert calls appropriately and liaise with the clinical team regarding patient care.
* Make calls as requested by clinicians.
* Book patients into the WIC telephone appointment system and coordinate with team leaders and doctors when capacity is reached.
Administration:
* Organize and administer clinics within the WIC.
* Assist in training new staff in reception duties.
* Support staff and GPs with general reception queries in the manager's absence.
Other duties:
* Ensure data security and confidentiality in accordance with policies and legislation.
* Support equality, diversity, and inclusion initiatives.
* Participate in staff appraisal systems.
* Undertake other duties as appropriate.
