Job purpose
To provide a proactive, efficient, and effective administrative support service for the Slough Branch.
Main duties and responsibilities
1. Planning, scheduling, and booking calibration visits and repair callouts for Engineering staff via our Calipro system. This includes issuing quotations and rearranging scheduled maintenance visits to accommodate emergency callouts.
2. Ensuring engineers have the correct information and equipment available to them prior to visits and callouts. This will include maintaining and providing correct documentation for calibration visits and ensuring correct Risk Assessments and Method Statements are issued to the customer.
3. Using Xero accounting system and Calipro calibration systems to maintain accurate records and provide data for Head Office.
4. Processing paperwork produced during engineer site visits to comply with specific accreditations.
5. Placing orders with suppliers accurately and receiving incoming goods.
6. Answering customer enquiries over the phone and representing D Brash and Sons in a professional manner
7. Ensuring all goods orders are shipped to the customer in a timely fashion.
8. Liaising with other branches and Head Office to ensure cross branch transactions run smoothly.
9. Filing and maintaining paper records where appropriate.
10. Additional administrative duties as directed by the Branch Manager.
Skills and experience
* NC in Business Administration or equivalent experience.
* At least 2 years experience in an administrative role
* Able to work on your own initiative, demonstrating high standards of professionalism in all activities undertaken, whilst displaying an approachable and enthusiastic attitude.
* Excellent eye for detail and consistency
* Proficient in Microsoft Office including Word, Outlook, Excel
* Strong communication skills, both verbal and written
* Ability to cope with competing demands and effectively organise and prioritise workload
