Helpdesk Administrator – Facilities Management
Location: Motherwell (Hybrid after probation)
Salary: Up to £28,000 per annum
Contract Type: Full-time, Permanent
About the Role
We’re looking for a proactive and highly organised Helpdesk Administrator to join a leading Facilities Management (FM) company based in Motherwell.
This is an excellent opportunity for someone with strong administrative or helpdesk experience who wants to build a long-term career in the FM sector. You’ll play a key role in coordinating reactive and planned maintenance requests, liaising with engineers and clients, and ensuring all tasks are logged and completed efficiently within the CAFM system.
The role will be office-based during the probation period, with the option to move to hybrid working once fully trained and established.
Key Responsibilities

Manage incoming calls and email requests, logging all jobs accurately into the CAFM system.

Allocate work orders to the correct engineers or contractors and ensure timely completion.
*
Maintain accurate records of all service requests, updates, and completed works.
*
Communicate effectively with clients, engineers, and suppliers to provide updates and resolutions.
*
Support the wider FM team with administrative and reporting tasks as required.
*
Assist with PPM scheduling, compliance documentation, and performance reporting.
*
Deliver excellent customer service, ensuring issues are handled professionally and promptly.
About You
*
Previous experience working with a CAFM (Computer-Aided Facilities Management) system is preferred.
*
Strong administration or helpdesk experience, ideally within Facilities Management or a fast-paced service environment.
*
Excellent communication and multitasking skills.
*
Confident using Microsoft Office and able to adapt quickly to new systems.
*
A team player who’s organised, proactive, and eager to learn.
*
Suitable for someone from a busy call centre background or a strong administrator looking to move into the FM industry.
