Job Summary
Receptionist and administrator for Fetal Medicine service, helping all women and their families through their pregnancy journey. Dealing with patients, members of the public and other organisations on a daily basis, booking appointments and all admin duties involved in the smooth running of the clinic. You will have a good command of the English language with the ability to understand and accurately convey verbal and written information. You must be well motivated and reliable, with a 'can do' attitude. Due to the sensitivity of the role, you will need to demonstrate a clear understanding of confidentiality issues. You must be committed to high standards of patient care and safety. A flexible attitude to work and the ability to work as part of a multidisciplinary team are essential.

As a receptionist, you will be the first point of contact for patients attending for appointments, whether for scans, consultations with a consultant or midwife. Ensure all patients are treated politely and professionally, providing a positive experience. Responsibilities include booking follow-ups, checking patient details, and assisting with queries. Customer service experience is essential, and a professional, courteous attitude must be maintained at all times. The administrative duties involve managing all aspects of patient appointments, including retrieving patient notes, compiling clinic lists, printing and sending appointment letters, and handling telephone queries from the community and patients.

Job Responsibilities
* Prepare patient notes according to Trust standards and KPIs, including managing paper and digital records.
* Photocopying and scanning as needed.
* Use relevant electronic booking systems to arrange transport and appointments.
* Handle enquiries professionally via phone and in person, referring to others if necessary.
* Record RTT patient data accurately and promptly, printing and sending appointment confirmation letters with relevant leaflets.
* Stay informed about peripheral services (transport, interpreting, etc.) and advise patients accordingly.
* Manage incoming mail efficiently.
* Use hospital IT systems competently and participate in training to update skills.
* Maintain a professional appearance and attitude at all times.
* Perform other duties as reasonably required.
* Print clinic lists in advance, greet patients, verify and update personal details, and ensure confidentiality.
* Arrange follow-up appointments and transport as instructed by medical/nursing staff.
* Record all clinic outcomes accurately on the day.
* Notify the Outpatient Coordinator of no-shows and capacity issues.
* Travel between sites as necessary.
Person Specification
Qualifications
* O'Level, GCSE or equivalent including Maths and English.
* Experience with Microsoft packages.
