Duties/Responsibilities

Location: Old Road Campus Estates Annexe, Roosevelt Drive, OX37DQ

Salary : £28,750 per annum

Working hours: 0800-1630, Monday – Friday

Role overview:

To assist various Contract Managers in the smooth and effective administration of the Contracts. Liaising with other team members to ensure a consistent and professional approach.

What you’ll do:

1. To assist with the raising of purchase/subcontractor orders as requested by the Contracts Manager, Supervisors and engineers
2. To assist with the producing of operational and monthly reports internally and externally
3. To control the full implementation of the IMS and assist with internal audits to ensure fully compliance with EFS standard procedures and accreditations
4. To assist in the preparation of supporting documentation for the purposes of final invoicing
5. To assist in the collation and development of monthly KPI reports on Contract activities
6. To compile and distribute data relating to utilities, maintenance work, operational costs and invoicing
7. To assist with the producing and analysing of financial reports
8. To carry out general typing and filing duties as required
9. To carry out all reasonable tasks that may be requested from time to time by the Operations Manager / Contract Managers
10. To compile engineers timesheets and input relevant information onto the Timesheet Database System
11. To respond to client’s Helpdesk requests
12. To assist with emergency requests and administration cover from additional sites

Who you’ll be:

13. Good communication skills
14. Five GCSE qualifications at level A to C including Maths & English
15. Good IT skills including Word, Excel, PowerPoint, Access & Works – including site specific PPM systems & BMS
16. Good telephone manner
17. Good time keeper
18. Able to work as part of a larger team
19. Conscientious
20. Able to work under pressure and to defined deadlines
21. Basic understanding of Quality Assurance and service delivery
22. Good interpersonal and customer relationship skills
23. Smart, presentable appearance
24. Personable and approachable

27. A team player with the ability to work from their own initiative
28. Willingness to learn new skills and embrace procedures
