Responsibilities
* Full P.A. support to the Managing Director
* Prepare paperwork, meeting minutes, and other documents as required
* First point of contact for correspondence and telephone calls, ensuring urgent messages are actioned immediately
* Secretarial support including diary management and meeting organisation
* Liaise with the Management Team and other secretaries as needed
* Manage both personal and work appointments for the Managing Director
* Type meeting minutes and present in a professional format
* Document dictation and send emails on behalf of the Managing Director
* Proofread correspondence to ensure high detail and accuracy
* Prepare monthly reports, collating information from various departments (e.g., board reports, payroll)
* Support Human Resources administration, including recruitment, new starters & leavers, and attendance records
* Maintain efficient filing and archive systems for the Managing Director and employee records
* Uphold confidentiality and discretion as a key part of the role
* Organise meetings and staff training as required
* Liaise with reception staff and oversee reception operations
* Ensure general office facilities are maintained, including ordering new equipment and handling safety assessments (Fire Risk Assessments, PAT testing)
* Run errands and perform ad‑hoc tasks as needed
Experience
* Experience in a secretarial/PA role supporting senior director level roles
* Comfortable working within a fast‑paced environment
* Ability to prioritise workload according to MD/Divisional demands
Qualifications And Training
GCSE Maths and English – Grade 4/C or above (or equivalent)
Skills And Aptitude
* Excellent administration and organisational skills
* Strong communication and listening skills
* Ability to prioritise workload and meet tight deadlines
* High level of discretion and confidentiality
* Teamwork and independent working abilities
* Proficient IT skills and experience with Microsoft Office (Outlook, Word, Excel)
