In our quest to deliver patient‑focused quality care we are looking to recruit a highly motivated and enthusiastic Administrator to join our forward thinking, friendly, and expanding Health and Justice Services EOS team at HMPYOI Bronzefield. By joining our Surrey Prisons' Offender Personality Disorder (OPD) Pathway EOS Team you will be part of a staff team that includes prison officers and psychologists. We are seeking a compassionate & enthusiastic administrator who enjoys working as part of a multi‑disciplinary team and who is interested in working in a service user facing environment. The role involves providing efficient and effective secretarial and administrative support to the EOS team.
Responsibilities
* Cover a range of administration tasks, exercising initiative within broad guidelines.
* Provide a comprehensive administrative service and PA support to the EOS team, undertaking delegated administrative tasks on behalf of the Administrative Manager and responsible for the day‑to‑day running and control of administrative and secretarial services of the team.
* Prepare and distribute documents using the prison administration system (CNOMIS/DPS), the patient administration system (Systmone), and Microsoft Office software (letters, memos, reports, discharge summaries, etc.), ensuring that all policies and procedures are adhered to.
* Provide a telephone reception service and deal with telephone calls, correspondence and other internal or external agencies in an appropriate and professional manner, using judgement and discretion where necessary and refer clinical matters to relevant members of the clinical team.
* Deal with outgoing and incoming correspondence, ensuring incoming mail is distributed as quickly as possible.
* Organise and attend meetings as directed for the team, including hospitality, preparing reports, agendas and taking minutes/notes.
* Co‑ordinate travel and accommodation arrangements.
* Co‑ordination of local events as required by the EOS Clinical Lead and Offender Personality Disorder Head of Service Line.
Qualifications and Requirements
* Vetting clearance is mandatory.
* Applicants must have resided in the UK for 3 years+ to pass the vetting clearance required to work within the establishment.
