The Project Support Officer will provide essential administrative, coordination, and analytical support to project teams delivering Omnitech's branding, marketing, and IT projects. The role ensures projects run smoothly, staying on track with deliverables, timelines, quality, and stakeholder communication.
Key Responsibilities
* Assist project managers in planning and scheduling project milestones, workshops, and key deliverables.
* Maintain comprehensive project documentation (plans, risk registers, change logs, action trackers).
* Coordinate allocation of cross-functional resources (marketing, design, development) for client projects.
* Track task completion and follow up with internal teams and external stakeholders to ensure tasks are delivered on time.
* Prepare project status reports and dashboards for internal stakeholders and clients.
* Maintain a central repository for project documentation, ensuring version control and accuracy.
* Collate and analyse data to monitor project progress, highlight risks or delays, and track KPIs.
* Support identification and tracking of project risks, issues, and dependencies.
* Help facilitate change-control processes: document change requests, log approvals, and update relevant project documentation.
* Ensure escalation of significant risks or issues to senior project staff in a timely manner.
* Liaise between internal teams (branding, digital marketing, web development) and client contacts to facilitate clear communication.
* Organise and document project meetings: prepare agendas, take minutes, and follow up on action points.
* Respond to stakeholder queries regarding the status of deliverables, timelines, and next steps.
* Ensure that project processes align with Omnitech's governance framework and quality standards.
* Assist with project reviews, audits, and lessons-learnt exercises.
* Contribute to continuous improvement of project processes by identifying inefficiencies and recommending enhancements.
* Provide administrative support as needed (e.g., preparing presentations, coordinating onboarding of new team members).
* Support project delivery by collaborating with cross-functional teams and ensuring alignment of project objectives.
* Assist in building and refining project templates, tools, and best practices to enhance efficiency.
Qualifications & Skills
* Master's degree or equivalent qualification (preferred).
* Knowledge of project management methodologies (e.g., Agile, PRINCE2) is a plus.
* Experience working with cross-disciplinary teams (IT, marketing, design) is desirable.
* Familiarity with digital projects (web development, marketing) strongly preferred.
* Highly organised with the ability to manage multiple tasks in parallel.
* Excellent written and verbal communication, including meeting facilitation and minute-taking.
* Analytical and detail-oriented, with strong problem-solving skills.
* Proficient in MS Office (Excel, Word, PowerPoint) and comfortable learning project management tools (e.g., Asana, Trello).
* Good stakeholder management skills — able to interact with technical teams (developers, designers) and non-technical clients.
* Self-starter attitude: proactive in raising issues and suggesting improvements.
