Join our dedicated Clinical Support Office team as a Clinical Support Office Assistant, where you'll play a crucial role in supporting safe, effective staffing across Ashworth Hospital and wider clinical sites across the Secure Care Division. This is an excellent opportunity for someone with previous NHS administrative / roster experience who thrives in a fast-paced setting and enjoys working at the heart of service delivery. In this role, you'll help maintain accurate e-rostering, support ward managers with day-to-day staffing coordination, record absences, book bank staff, and ensure essential training and staffing information is always up to date. You'll act as a key link between the Clinical Support Office and ward teams, helping to ensure safe and appropriate staffing levels that directly support high-quality patient care. Post holders will be required to work shifts on a weekly basis, including some bank holidays, offering variety and a dynamic working pattern. Main duties of the job
Provide clerical and administrative support to ensure the smooth running of the Clinical Support Office, using electronic roster systems and Microsoft Office applications such as Outlook, Excel and Word. Maintain an overview of ward staffing by gathering staffing information, compiling master duty sheets, and updating the electronic roster system to ensure accurate, real-time staffing records. Work closely with Ward Managers and Duty Managers to ensure a clear and accurate view of daily staffing levels is always available across the hospital sites. Identify staffing deficits that may negatively impact service delivery, escalating concerns promptly to senior managers. Liaise with the central nurse bank to arrange additional staffing where required and ensure efficient use of temporary staff resources. Support safe staffing coordination by updating leave, sickness, training, shift changes and competency information within the e-roster system. Act as liaison for designated wards, maintaining effective communication, collecting leave requests, and supporting roster planning. Assist with producing performance and staffing reports, ensuring accurate data collection. Work shifts on a weekly basis, including some bank holidays, in line with service needs.
