Business Support Officer £14.60 Based in BN3 3BR Fully Office based x2 Full time (35 hours) and x1 Part time Job Purpose: Deliver confidential, quality administrative support to members of the Cabinet Office and Corporate Leadership Team. Assist in the delivery of a coherent range of service reforms and improvements across the Corporate Leadership Office, ensuring that they are well received, equitable from a diversity and inclusion perspective and have a measurable impact on performance across the organisation. Provide a time management/diary service to ensure the efficient use of the Cabinet Member or Corporate/Director's time. Arranging and co-ordinating meetings with a range of internal and external stakeholders; organising appropriate, cost-effective travel arrangements and itineraries; and using initiative to rearrange appointments according to priorities. Ensure the Cabinet Member or Corporate/Director's is fully briefed and prepared for a complex network of meetings. Liaise with a range of internal and external contacts at all levels, including senior managers, directors, elected councillors, MPs, external agencies, community organisations, and service users, to build and promote good working relationships that support high standards of service delivery. Coordinate relevant council and committee papers, reports, and responses, ensuring corporate deadlines are met and all relevant officers are involved. Perform straightforward interpretation, analysis and manipulation of data or information, presenting findings / results accurately and appropriately to support effective reporting. Provide proactive business support, supporting and arranging key meetings; preparing presentations and papers; taking minutes and circulating key decisions to the division; and following up on actions, much of which may be confidential in nature. Operating as part of a broader support team, sharing expertise and knowledge, and providing cover for other members of the team when necessary. Set up conferences and events as requested: book venues, arrange catering and equipment, invite speakers and delegates and prepare briefing materials. Assist on the day with welcoming, registration and co-ordination of functions to ensure the event runs smoothly and efficiently. Essential criteria Educated to NVQ Level 3 or equivalent level of knowledge gained through experience. Detailed knowledge of role-related administrative policies, processes and codes of practice. Good understanding of how the local government operates and the range of services delivered. Experience Significant administrative experience at a senior level in a role related environment dealing with often complex, confidential and sensitive information. Considerable experience using technology to deliver administrative support and to research and collate information for reports. Experience of recording and monitoring expenditure against defined budgets, checking travel/expense claims and producing straightforward statistics for reports. Skills and abilities Strong organisational and time management skills to work effectively under pressure, meet deadlines and prioritise own workload within a clear framework. Ability to use initiative and judgement to identify urgent matters or resolve more varied or complicated problems. Ability to communicate straightforward information clearly and deal with challenging people and situations calmly and confidently whilst providing a courteous and efficient service, exercising sensitivity, diplomacy and tact. Excellent literacy, numeracy, research and analytical skills. Ability to review current systems and processes and suggest new ways of working to improve efficiencies.
