Description
This opportunity is available on a permanent part-time contract of employment working 20 hours over 5 days a week; however, for the right candidate we are flexible on what this looks like. The annual salary advertised is calculated pro rata on this basis.
The purpose of the role of Executive Assistant is to ensure that our Executive Leadership Team are organised, structured, and managed in leading the organisation both on an operational and strategic level. Specifically in directing their time on planning and meeting Investors/Board requirements and company priorities. The successful candidate will have exposure to the company’s investors and will support the Executive Leadership team in managing their requirements and expectations.
As a vital part of the team, supporting the effective strategic and operational delivery of our Company objectives and goals for the future, the Executive Assistant will use their extensive skills and experience in administration, organisation and time management to provide an efficient and effective service for the Executive Leadership Team.
Primary duties
Executive Administration
* Coordinating, filtering and prioritising incoming demands and requests for the Executive leadership team; redirecting matters to the appropriate parties within the business or addressing matters personally, as appropriate.
* Manage scheduling for members of the Executive leadership team, including company meetings, team meetings, agendas, mail, email, phone calls, client management, and other logistical arrangements.
* Manage members of the Executive leadership team's travel arrangements and itineraries including accommodation, transportation, and meals etc., as well as processing expenses on their behalf.
* Providing administrative and office support as required.
* Organise and coordinate board papers, presentations and communications, with proficiency in using PowerPoint, Excel and Word to create a professional look and feel to corporate material.
* Taking ownership of the office estate within the group, ensuring standards are maintained and any maintenance issues are actioned promptly.
* Undertaking research on behalf of the Executive leadership team in support of the businesses objectives and growth aspirations.
* Other additional and/or alternative duties as assigned from time to time, including supporting other departments or Executives as needed.

* Strong time-management skills and an ability to organise, and coordinate multiple concurrent projects, calendars, meetings etc.
* Exceptional interpersonal skills and an ability to build effective working relationships with key stakeholders.
* Excellent written and verbal communication skills with a proficiency with office productivity tools.

* Ability to maintain confidentiality of information related to the company and its employees.

Knowledge
* Understanding of the administrative and support requirements for a Board of Directors.
* Knowledge of the private equity investment model for businesses positioning themselves for growth.
Experience
* Demonstrable experience in an administrative role reporting directly to senior management and comfortable operating at this or an equivalent level.
* Previous experience delivering an executive-level support function.
