This role will report directly to the Facilities Manager. The role will provide support to the Facilities Team and the wider office. As a Reception and Facilities Assistant, you will be expected to assist the Facilities Resource as a whole. Tasks will be divided up each week, depending on tasks, workloads, and absences within the teams and you will work closely with the Reception and Facilities Assistants. The core hours are 08 30 to 17 30 Monday to Friday and this will be an office based role. Roles and Responsibilities As part of the Reception team • Welcome clients and visitors and ensure they are dealt with promptly • Ensure all calls are responded to within the minimum time and in the agreed style • Provide an efficient service when booking meeting rooms and assist with set ups and arrangements for catering for meetings/lunches/events • Updating Reception documents and procedures • Ensure meeting rooms are fully stocked and set up as required, including the clean down of meeting rooms after use As part of the Facilities and General Office team • Provide a friendly and efficient service to internal and external clients • Liaise with contractors and engineers in relation to ad hoc repairs and planned maintenance works • Action ad-hoc tasks that come through the Facilities Helpdesk such as, but not limited to creating access passes for internal and external clients, ordering stationery supplies, initial assessment of maintenance issues • Assist the Facilities Manager with data entry, working within the firm’s Environmental Management System • Ensure the kitchen areas and vending machines are kept stocked and tidy • Perform fundamental archive duties and provide cover as needed • Opening and distribution of post, as well as sorting and franking of afternoon mail • Assist with small furniture/office moves • Carry out general office duties to assist the Internal Client Services team to include copying, scanning, binding and other General Office duties Skills and experience • Knowledge of Microsoft Office and administration experience would be an advantage, but training will be given Person specification • Be flexible • Have a positive attitude • Have professional presentation • Be able to work under pressure • Have good communication skills • Be a pro-active team player • Be computer literate • Have good organisation and time management skills • Have good accuracy and attention to detail Competencies • Conscientious and methodical with excellent attention to detail • Strong communication skills with the ability to deal with colleagues at all levels • Proactive and demonstrable experience of using initiative • Ability to work autonomously
