Job Title: Facilities Coordinator – Building Services (Temp to Perm)

Location: Abingdon, Oxfordshire (OX13) – on site, near Oxford

(Due to site access and local traffic conditions, this role is best suited to candidates located within approximately 45 minutes of the Abingdon area to ensure reliable travel to site)

Start Date: Immediate

Duration: Temp to Perm

Salary: £35,000 - £40,000 per annum (depending on experience)

Summary of the Facilities Coordinator role:

Our client is looking for a proactive and organised Facilities Coordinator to support the operational delivery of Facilities Management services. This role provides key administrative and coordination support within the Operations team, helping ensure services are delivered efficiently and in line with contractual requirements. The successful candidate will coordinate maintenance activities, liaise with subcontractors and operational teams, maintain CAFM system records, and help ensure work is completed in line with service level agreements (SLAs).

This is an excellent opportunity for a highly organised administrator or coordinator to join a busy Facilities Management environment and play a key role in supporting operational service delivery.

Facilities Coordinator Deliverables / Outcomes (including but not limited to):

* Coordinate workflow for all client and internal requests, ensuring works are completed in line with SLAs.

* Arrange subcontractor reactive maintenance visits and planned preventative maintenance (PPM) activities.

* Liaise with customers, subcontractors and operational teams to ensure smooth service delivery in line with the PPM regime.

* Maintain and update CAFM system records to ensure accurate tracking and reporting of work orders.

* Upload and maintain subcontractor compliance documentation and service records.

* Review service reports and raise follow-on work orders where required.

* Work closely with scheduling teams to ensure works are assigned and managed appropriately.

* Maintain strong relationships with subcontractors, ensuring works are delivered on time and to required standards.

* Assist with generating quotations using the CAFM system and manage approvals.

* Manage minor works requests and support associated purchasing activities.

* Raise purchase orders in accordance with internal governance processes.

* Ensure deliveries and goods receipt documentation are correctly logged within the CAFM system.

* Validate invoices against committed costs and support budgetary control processes.

* Ensure all operational costs are captured and recorded accurately.

* Produce SLA, PPM and operational reports for internal teams.

* Attend client and operational meetings when required.

* Support the wider Facilities Management team and contribute to a positive team culture.

Skills, Experience & Qualifications:

* Previous experience in an administrative or coordination role within an operational environment.

* Strong customer service and communication skills.

* Excellent organisational skills with the ability to manage multiple tasks.

* Good written and spoken English, with a strong level of numeracy.

* Proficiency in Microsoft Office, particularly Word and Excel.

* Experience using CAFM systems (e.g. Planon, Maximo) is advantageous but not essential.

* Ability to work independently while collaborating effectively within a team.

* Ability to work effectively in a fast-paced and sometimes high-pressure environment.

* GCSEs in English and Maths, or equivalent (desirable).

Additional Requirements:

* Flexibility may occasionally be required to accommodate operational needs.

* The role may require occasional travel to other company sites.

* Candidates may be subject to BPSS (Baseline Personnel Security Standard) clearance or higher depending on client requirements.

* Identity, right-to-work, and employment history checks (covering the last three years) will be required as part of the onboarding process.
