Our Peterborough office is seeking an ambitious individual to join our Business Support Team to provide a high standard of professional and flexible administrative support to Executive Assistants, Personal Assistants and fee-earners across the business.
The role
Our Business Support Assistants provide a wide range of administrative support services to the office.
The responsibilities
Reporting to the Executive Assistant/Office Manager, responsibilities will include (but are not limited to):
1. Copying, printing and scanning
2. Dealing with both incoming and outgoing post,, couriers packages and special post.
3. Assisting with the preparation of various types of documents and correspondence.
4. Assisting with new client onboarding including AML, Letters of Engagement, client checks and proactive follow-up with the relevant teams as required.
5. Maintaining client database.
6. Creating and updating client data rooms.
7. Providing support on event organization both internal and external and related administrative tasks.
8. Support other members of the team and provide cover as and when necessary to ensure that work is completed to a high standard and meets required deadlines.
9. Managing meeting room preparation and clearing.
10. Meeting and greeting external visitors.
11. Preparing and submitting expense claim forms for fee-earners, if requested.
12. Ad hoc administrative tasks as and when required.
The team
This role will be part of the wider Business Support Team which consists of the EA/Office Manager, 2 Personal Assistants and 3 Business Support Assistants.
You

14. The ability to cope with repetitive tasks.
15. A flexible, professional approach and have the confidence and ability to communicate effectively.
16. A natural team player with a positive and enthusiastic attitude and an excellent eye for detail.
17. Excellent communication, organisation and administrative skills.
18. Strong time management and prioritisation skills.
19. Attention to detail: proof-reading all work and checking formatting, spelling and grammar.
20. Effective user of Microsoft software and takes responsibility for undertaking any training required to improve relevant skills to meet the needs of the business.
21. Proactive approach and enthusiasm to work independently and as part of a team.
22. Should be flexible in approach to working overtime when required.
23. Good English language and grammar skills.
24. Good level of numeracy.
25. Administration experience in a busy corporate environment is desirable.
