We are looking for a Construction Administrator to join our team in our Chiltern region. You will provide support to the construction team by carrying general administration duties and acting as conduit between office and site to ensure all site operatives are fully updated on all relevant construction processes and procedures. Main Accountabilities: Set up new sites on OneSite - create site codes and link to be issued to the Quantity Surveyor, Site manager and Contracts manager. Process to be monitored. Assist with on site IT if required Printing of large drawing and Programmes for site teams if requested. Ordering & distribution of corporate clothing (PPE). Ordering & distribution of Construction department stationary. Ordering & cancellation of telephone lines for site (via IT department). Maintenance and support of Health & Safety Training matrix support. Arrange training for regional site-based staff & office staff where appropriate support required. Send out notification of courses & course outline notes when required. Full responsibility for posting receipts/delivery notes on to the system. Payment and coding of invoices through the tracker. Receipting of delivery notes on E-vision. Respond to invoice queries regarding invoices that have not been matched and passed. Liaise with site managers to check and chase for receipts. Identify on-going receipting issues, investigate and implement process improvement. Liaise with suppliers/accounts/commercial departments. Monitor receipt of delivery notes from site teams and escalate to construction management where necessary. Collate and distribute quarterly meter readings of temporary building supplies and show homes for Cala Chiltern. Monitor and apply for British Gas, Electric and BT rebates as sites near completion. Record all payments, liaise with utility providers, dispute debt collection queries and process invoices. Update Change of responsibility forms and manage handover of accounts upon completion - update records and provide utility providers with handover details. Populate matrix and manage the analysis of the quarterly sub-contractor performance scoring with information returned from the site teams. Issuing of H&S communication to sub-contractors. Open new accounts as a when necessary. Support the Construction Secretary as and when requested.
