Role Overview
We are seeking an experienced
Operations Manager
to lead an
office-based property management administration centre
, overseeing the full operational lifecycle
from tenant check-in through to check-out
.
This role is
strictly property management focused
. It does
not
include lettings sales, business development, or client accounting. The position is central to ensuring compliance, consistency, efficiency, and high service standards across a managed portfolio.
Key Responsibilities
Operational Management
* Lead the day-to-day operations of an office-based property management centre
* Ensure smooth delivery of services across check-in, tenancy management, maintenance, compliance, and check-out
* Implement, maintain, and improve operational processes and workflows
* Monitor KPIs, service levels, and turnaround times, driving continuous improvement
Team Leadership
* Manage, coach, and develop a property management and admin team
* Set clear objectives, manage workloads, and ensure accountability
* Support recruitment, onboarding, and performance management
* Build a structured, high-performing team culture
Property Management Delivery
* Oversee compliant tenancy onboarding and move-ins
* Manage maintenance workflows, contractor performance, and escalations
* Ensure full compliance with statutory and regulatory requirements
* Oversee end-of-tenancy processes including check-outs and deposit deductions
Compliance & Risk
* Maintain up-to-date knowledge of landlord and tenant legislation
* Ensure accurate record keeping and audit readiness
* Identify operational risks and implement mitigation strategies
Stakeholder Management
* Act as the senior escalation point for operational issues
* Maintain effective working relationships with landlords, agents, and contractors
* Provide clear reporting and updates to the Operations Director
Financial Oversight (Non-Client Account)
* Review and control operational and maintenance expenditure
* Identify cost efficiencies and process improvements
Person Specification
Essential
* 3-5+ years' experience in property management
* Proven experience in an operations or senior supervisory role
* Strong knowledge of end-to-end property management processes
* Excellent understanding of landlord and tenant legislation
* Experience managing teams in an office-based environment
Skills & Attributes
* Highly organised with strong attention to detail
* Calm, decisive, and solutions-focused
* Strong communicator with a collaborative leadership style
* Comfortable managing volume and complexity
Desirable
* ARLA Propertymark or equivalent qualification
* Experience managing large or multi-site portfolios
