Position: Executive Assistant, PA Grade NHS AfC – Band 6, Permanent
Location: CNWL Headquarters, London
Salary: £46,419 – £55,046 per annum (incl. HCAS, pro rata if part‑time)
Hours: Full time, 37.5 hours per week, office based four days a week

Job Overview

The role oversees and manages the Executive Director’s meetings, both internally and externally, coordinating forward planner, agendas, papers and taking accurate minutes. The Executive Assistant also supports junior admin staff within the directorates, deputises for other Executive PAs and, when required, for the Chief Executive.

Applicants must possess exemplary written and communication skills, be educated to degree level or equivalent and bring substantial relevant experience in a PA role at director/senior level.


Main Duties of the Job

* Act as the first point of contact for the Chief Nurse, managing calls, emails, correspondence and visitors.
* Filter and prioritise the Executive’s workload and redirect it as appropriate.
* Review complex information as it arrives, summarise and bring to the Executive Director’s attention when necessary.
* Deal with issues on behalf of the Chief Nurse, including assessment, problem‑solving and negotiation.
* Ensure plans are in place to deliver reports for statutory deadlines and committee cycles.

* Strong working relationships – staff deputise and cover for each other when appropriate.


Person Specification


Qualifications

* Educated to Degree level or equivalent relevant experience.
* Evidence of further education degree or diploma level or equivalent relevant experience.


Skills, Knowledge & Abilities

* Ability to draft complex and sensitive correspondence on behalf of the Executive Director.
* Excellent communication skills – including non‑verbal and report writing.
* Ability to assess complex information, elicit key facts and record and report them.
* Effective diary management and resolution of conflicting commitments.
* Comprehensive understanding of NHS structure, CCGs and CCBs.


Experience

* Extensive PA experience at director/senior level.
* Full diary management and problem‑solving experience.
* Independent work on non‑routine matters, exercising judgement and decision‑making.
* High‑quality minutes at senior meetings and accurate record‑keeping.
* Project, events or conference management experience.
* Monitoring of a budget.
* Production of reports and statistical data for senior management.
* Delivery of objectives and priorities in a constantly changing environment.
* Experience dealing with people at all levels, including external agencies and stakeholders.
* Robust decision‑making with initiative and independence.
* Understanding of current issues facing NHS Trusts.
* Line management or supervisory experience.
* Understanding of commissioning intentions, KPIs and business aims.
