Key Responsibilities
Legal and related tasks as required including:
• Checking lengthy documentation and proofreading as required
• Talking with client’s and taking instructions where appropriate and recording these instructions effectively.
• Managing the file on the system
• Liaising with the fee earner
Administrative tasks to include:
• File opening in accordance with IBB procedures to include data input, completion of internal forms and procedures, preparation of anti-money laundering documentation, setting up the paper file and file labels, preparing the initial letters for fee earner review
• Filing incoming correspondence, outgoing copies, invoices, reports and paper files in/out of the filing system. Assisting with file checking and organising in preparation for semi-annual quality audits.
• Ad hoc data input as and when required (CRM and PMS)
• Taking telephone calls
• Supporting other members of the team where appropriate
• Dealing with new client enquiries
• Closing files
• Managing the matter list
• Cost reviews
• Posting slips
• Diary management
• Managing the iManage Share Portal
Billing tasks to include:
• Assisting Fee Earners will disbursement billing and queries from accounts on bills
• Liaising and working closely with Accounts
• Dealing with telephone queries from clients and accounts in relation to bills

Person Specification
Qualifications
1. Educated to degree level standard or equivalent, preferably in law.
Skills and Experiences
2. Excellent organisational and communication skills with the ability to use own initiative, plan tasks and work to deadlines
3. Strong literacy, numeracy and technological skills
4. Advanced working knowledge of Microsoft applications including Outlook, Word, Excel and PDF programmes
5. Some knowledge of legal (civil) procedure gained through practical work experience or study (essential)
6. Experience of working in a legal environment (desirable)
7. Reliable, adaptable and flexible: able to embrace change. Is responsive to different ways of working and learns new tasks quickly.
8. Prepared to undertake all tasks as required by the role with a positive “can do” attitude.
9. Excellent work ethic and commitment to a career in law
