Executive Administrative Assistant
Location: London Paddington (Hybrid presence required)
Remuneration: Up to £25/hour
Contract Details: Temporary until 30th June 2026, with a view to extend
Responsibilities
* Event Coordination and Logistics - Lead the strategic oversight of events, ensuring alignment with vision and outcomes. Manage logistics, promote events, allocate resources, and provide high-level guidance for complex issues. Ensure regional consistency and oversee post-event evaluations.
* Calendar Management and Meeting Logistics - Provide expert calendar management for senior leaders, maintaining confidentiality and prioritising critical meetings. Exercise discretion in decision‑making and adapt to shifting priorities while representing executive leadership.
* Travel Management - Coordinate travel arrangements, creating detailed itineraries to maximise productivity. Manage logistics and ensure readiness for business trips, addressing any issues that arise proactively.
* Cross‑Functional Collaboration and Communication - Foster communication between executives and teams, leveraging internal and external networks to support business goals. Represent the executive’s brand through effective communication and collaboration.
* Resource Management - Oversee expense management for the executive office, ensuring compliance with company policies. Partner with finance on budget planning and manage processes affecting the executive office.
* Rhythm of Business (ROB) - Create and manage the annual ROB with executive leaders, aligning meetings and schedules while advising on best practises for internal communications.
* Space Management and Planning - Collaborate with relevant teams to address complex space issues and manage executive office needs.
Candidate Requirements
* Experience in executive assistant or similar roles, ideally supporting senior leaders in large organisations.
* Proven experience in calendar and travel management.
* Proficiency in Microsoft Office Suite (Outlook, Excel, Teams).
* Strong background in event coordination and stakeholder communication.
