Assistant Organisational Development Officer (Systems & Data)

Appointments are usually at the first point of the scale, with annual pay progression each 1 April after six months’ service.

Contract: Permanent

Hours: 35 hours per week, Monday to Friday, Hybrid working available


The Role

This is a varied role providing administrative support to the Organisational Development Team and the Director of People and Culture, helping to coordinate and support the delivery of key initiatives across the Glasgow School of Art.

The role has a strong and explicit focus on systems, data and coordination, supporting the effective completion of organisational development activity. You will play a key role in ensuring projects are well organised, accurately tracked, and delivered efficiently.

Working within a busy team, you will support departments across the institution, ensuring activity is effectively coordinated, accurately recorded, and delivered in a timely way.

You will work across a range of digital platforms, including LearnUpon, iTrent, Qualtrics, Power BI, Campaign Monitor and Excel, maintaining high-quality data, producing routine reports on participation and engagement, and supporting colleagues in the effective use of systems. You will also ensure data is accurate, up to date, and supports informed decision-making.


Key Responsibilities

* Provide administrative support to the Organisational Development Team and the Director of People and Culture
* Maintain and update organisational development data across multiple systems, ensuring accuracy and consistency
* Produce routine reports on participation, engagement and development activity
* Respond to system queries, resolving straightforward issues and escalating where appropriate
* Support the coordination of organisational development activity, including workshops and training sessions
* Coordinate logistics such as scheduling, bookings, communications and resources, supporting the smooth running of sessions
* Maintain accurate attendance and participation records
* Support organisational development communications, including drafting content for newsletters and maintaining intranet pages
* Assist with budget tracking and financial administration, including processing invoices and payments to external providers
* Work collaboratively with colleagues across the HR team to support delivery of organisational development activity


About You (Skills & Experience)

We are looking for a highly organised and proactive administrator with strong coordination skills and confidence working with systems and data. You will be comfortable managing multiple priorities, maintaining accurate records, and producing reports, with excellent attention to detail.

You will bring a practical, solutions-focused approach, using initiative to resolve issues and support colleagues effectively. Strong digital confidence is essential, particularly in working across multiple systems and using Excel to manage and analyse information.

This role sits within an organisational development context and focuses on systems, data and coordination to support the delivery of development activity across the School. We are particularly interested in candidates with strong administrative, systems and coordination experience.
