About ISH Venues ISH Venues is part of International Students House, a renowned centre offering accommodation, social spaces, and support services to both British and international students. Our venue features eight flexible event spaces used by a diverse range of clients—from charities and local authorities to corporate and international organisations. The Role We are seeking a proactive and hands-on Meetings & Events Operations Supervisor to lead the day-to-day delivery of our event operations. You will liaise directly with clients, coordinate event logistics, supervise the porter team, and ensure exceptional standards across all event spaces. This is a vital, client-facing role that requires strong communication, technical confidence, and a commitment to outstanding service. Key Responsibilities Client Liaison Act as the main point of contact for clients on event days, including meet-and-greet and fire safety briefings. Provide operational advice and ensure smooth execution of all events. Coordinate with internal teams and 229 The Venue to support their events. Monitor client satisfaction and address issues promptly. Work closely with catering to ensure accurate and timely hospitality delivery. Build strong client relationships to encourage repeat business. Technology & Equipment Set up AV, hybrid systems, and technical equipment in line with client requirements. Troubleshoot technical issues and liaise with external AV technicians for complex events. Maintain and store equipment safely, completing regular stock checks. Identify equipment purchasing needs and report these to the Sales Manager. Team Supervision Lead and support Events Porters, providing training, inductions, and ongoing communication. Ensure performance management follows ISH guidelines. Assist with recruitment and ensure team compliance with uniform, PPE, and health & safety standards. Conduct one-to-one meetings with team members alongside the Sales Manager. Room Set-Ups Assist with setting up rooms and equipment for internal and external clients. Ensure safe manual handling and high standards of cleanliness and presentation. Report defects to Facilities and maintain tidy, secure storage areas. Ensure marketing materials, welcome signs, and H&S information are correctly displayed. Administration Create weekly rotas and manage annual leave requests. Produce accurate daily briefs and setup instructions for the team. Prepare signage, floor plans, and order stock, uniforms, and materials. Maintain accurate equipment stocktakes and verify weekly team hours. Conduct daily site walks to identify H&S, security, or maintenance issues. Keep Standard Operating Procedures up to date. Sales Support Update the event booking system (Rendezvous) with on-the-day changes. Obtain approval for additional chargeable items. Answer sales calls in the team’s absence and record information accurately. Support the sales team with gathering final event details. Health & Safety Represent the department in Health & Safety meetings and implement resulting actions. Maintain departmental risk assessments and ensure porter training is up to date. Please note: Additional duties may be required as part of wider house activities. Experience & Skills Required Previous experience delivering conferences and events. Experience supervising and training staff. Excellent written and verbal communication skills. Strong relationship-building skills with internal and external stakeholders. Competency with AV and sound equipment. High commitment to customer service and a professional, positive attitude. Ability to remain calm and diplomatic under pressure.
